Dealer Onboarding & Sales Support Specialist Kawasaki Motors Retail Finance, LLC Foothill Ranch, CA Job Details $80,000 - $85,000 a year 18 hours ago Benefits Paid holidays Health insurance Paid time off Vision insurance 401(k) matching Employee discount Pet insurance Qualifications Bachelor's degree Full Job Description KMRF is seeking a proactive and detail-oriented Dealer Onboarding & Sales Support Coordinator to lead the end-to-end onboarding of new dealer partners and support the critical administrative and coordination functions behind the dealership KMRF sales experience. This role is a key part of our Originations team and plays a vital role in ensuring a smooth, professional, and efficient onboarding experience. The primary responsibility is to manage the full dealer onboarding lifecycle, from initial contact and documentation intake through system setup and readiness for funding. In addition, this role owns the administrative and scheduling backbone for sales training and field activity, including training scheduling, calendar and logistics coordination, enrollment and attendance tracking, and training communications, working in close partnership with the Sales Training & Development Specialist. The role also supports dealer agreement administration, dealer ACH maintenance, contract unwind processing, travel coordination, expense administration, and broader sales support initiatives. The ideal candidate has experience in powersports or auto finance or has held previous project management or project coordinator roles, thrives in a fast-paced, collaborative environment, and values precision, communication, and process improvement. The position reports directly to the Sr. Manager, Sales Strategy and Analysis.
Key Responsibilities:
Manage the full dealer onboarding process, including application intake, documentation review, compliance checks, system setup, and onboarding status tracking.
Own training scheduling and administration:
coordinate session calendars, manage enrollment and attendance tracking, handle logistics, and distribute training communications in partnership with the Sales Training & Development Specialist. Produce training operational reporting, including attendance, completion rates, and scheduling status for Sales leadership and the Training & Development Specialist. Support training marketing and promotion by preparing and distributing session announcements and dealer-facing scheduling materials. Process and track dealer ACH updates, ensuring proper compliance protocols are followed and all necessary platforms are updated to reflect new information. Manage contract unwind processing, including dealer communications, status tracking, reporting, and coordination with internal teams. Assist in strategic planning of FPSM and executive dealer visits, including building itineraries, managing calendars, pulling reports, building physical dealer visit packages, and communicating with both KFS and AKM field sales reps. Coordinate travel arrangements and expense administration for field sales and training activity. Serve as the main point of contact for onboarding inquiries and guide Sales and dealers through each step of the process. Coordinate with Sales to distribute dealer-facing onboarding materials and ensure readiness for funding. Troubleshoot and resolve onboarding issues from dealers or internal teams to ensure timelines are met. Maintain an organized digital filing system for all onboarding documentation and dealer records. Work cross-functionally with Sales, Credit, and Funding to provide visibility on onboarding progress and readiness. Provide feedback and recommendations to improve onboarding and training-coordination workflows, documentation, and internal coordination. Support the Credit team by preparing and tracking basic compliance documentation as needed. Act as a resource for internal teams by maintaining onboarding best practices and ensuring transparency across departments.
Qualifications:
Bachelor's degree in Business, Finance, Marketing, or a related field. 1-2 years of dealer onboarding, project management, or coordination experience (powersports or auto finance a plus). Strong communication and organizational skills with the ability to manage multiple tasks and competing deadlines simultaneously. High attention to detail and familiarity with compliance and documentation standards. Experience coordinating schedules, calendars, events, or training logistics. Proficient in Microsoft Office (Excel, Outlook, Word); comfort with scheduling and coordination tools a plus. Ability to work both independently and collaboratively across departments. Customer-focused mindset with a proactive, solutions-oriented approach.
Profile Differentiators:
Background in powersports finance or dealership operations. Familiarity with F&I workflows and retail finance documents. Experience supporting a Sales or Training team with scheduling, materials, or internal tools. Knowledge of ECOA processes.
Salary:
