Organizes materials for sales presentations and promotions. May gather product information, process customer orders or provide customer service after sales. Manages sales data and documentation.
We are looking for a Sales Coordinator to join our team! Our Sales Coordinator will support the Area Director of Sales for three Monterey hotels. This role is essential in supporting the group and volume account booking process, coordinating meeting and events, and ensuring smooth operations across the hotels. The ideal candidate will have experience with SkyTouch or similar PMS systems, Delphi or similar CRM platforms and possess strong organizational and communication skills to handle various administrative and sales-related tasks efficiently. This candidate must exhibit outstanding hospitality service skills such as a friendly demeanor, professional, client focused (external and internal) and a true team player.
Key Responsibilities:
Group & Volume Account Management Enter and manage group bookings and volume accounts in the Delphi system Merge and process contracts, ensuring accuracy and completeness Create and update Banquet Event Orders (BEOs) and group resumes Enter and manage group blocks in SkyTouch/PMS and Delphi Input rooming lists and reservations, ensuring all details are correctly processed
Sales and Client Support:
Track and enter group pick-up data and monthly volume account production Prepare for and coordinate site inspections, ensuring all client needs are met Arrange in-house amenities for clients and prepare client gifts and collateral for outside sales calls
Administrative Duties:
Answer phone calls, address inquiries, and provide timely responses to clients and internal teams Run and analyze reports related to sales performance, group pick-up, and other metrics Coordinate with other departments to ensure smooth execution of sales process and client requests
Systems & Software Proficiency:
Utilize SkyTouch, Delphi, Microsoft 365, Outlook and Canva for booking and sales management Use Microsoft Teams for internal communications and collaboration
Qualifications:
Previous experience in a hotel or hospitality sales support role is preferred Strong organizational skills with the ability to manage multiple tasks and deadlines efficiently Excellent communication skills, both verbal and written High attention to detail and accuracy in data entry and report generation Ability to work independently and collaboratively within a team
Education & Experience:
High school diploma or equivalent; associate's or bachelor's degree in hospitality, business, or a related field is preferred Previous experience with group bookings, contract management, and customer service in a hospitality environment is beneficial
Work Environment:
