The position serves as the primary operational connection between the VP of Sales and Marketing, Field Sales, customers, Operations, Supply Chain, and Finance. Its purpose is to provide the commercial infrastructure, information, coordination, and follow-through required to support profitable growth while maintaining a high level of customer service. The role is designed to support Antelco's growth from its current revenue base toward its five-year objectives without sacrificing customer experience, margin visibility, execution quality, or operational control. This is not solely a customer-service, order-entry, reporting, or marketing position. The individual is expected to understand what customer and sales activity means to the business, identify opportunities and exceptions, and take ownership of actions through completion. Key Responsibilities Customer Experience and Account Support Serve as a primary day-to-day contact for assigned customers. Respond to customer questions regarding products, pricing, availability, orders, shipments, credits, and account status. Proactively communicate backorders, shipment changes, inventory constraints, pricing issues, and other customer-impacting exceptions. Develop strong working relationships with customer purchasing, operations, and accounting personnel. Coordinate customer issues across internal departments and maintain ownership through resolution. Identify recurring customer-service issues and recommend process improvements so growth does not come at the expense of customer experience. Proactive Customer Sales Support Review customer purchasing activity for reorder, expansion, seasonal, and promotional opportunities. Follow up on quotes and outstanding sales opportunities through to a decision. Identify customers whose purchasing has slowed or stopped and support reactivation efforts. Identify cross-selling and new-product opportunities within existing accounts and coordinate follow-up with Field Sales. Support targeted category-growth and competitive-conversion initiatives. Convert inbound customer inquiries into qualified opportunities. Sales Reporting and Commercial Intelligence Maintain a repeatable VP Sales and Marketing dashboard rather than assembling different reports each time information is requested. Report sales versus prior year, sales versus plan, and monthly sales trends. Report sales by customer, territory and salesperson, and product and category. Report new accounts, lost or declining accounts, and organic account growth. Report new-product revenue, competitive-conversion revenue, and program-generated incremental revenue. Report open orders, significant backorders, past-due accounts receivable, and pricing exceptions. Flag customer issues requiring management attention. Present results so management can distinguish retained business, organic growth, new accounts, new products, competitive conversions, and program-generated growth. Turn transaction data into commercial intelligence and actionable sales priorities. Pricing and Margin Visibility Maintain and monitor approved customer pricing, discount structures, and special pricing. Identify pricing discrepancies and unauthorized exceptions and escalate material issues. Track promotional and program discounts. Assist in measuring rebates, discounts, freight programs, commissions, and other commercial incentives. Monitor margin dollars and margin percentages where system data is available. Identify situations where revenue is increasing but margin quality is deteriorating. Provide visibility, where data permits, from gross sales through discounts and rebates, net sales, cost, and gross margin dollars and percentage. The VP of Sales and Marketing retains responsibility for pricing strategy and acceptable margin expectations. Sales Program Activation and Administration Coordinate the operational execution of approved sales programs and promotions. Establish participating accounts and maintain qualification requirements and historical sales baselines. Track customer commitments and verify approved program pricing and discount levels. Monitor program orders, shipments, and participating products and categories. Identify customers approaching or missing qualification targets. Coordinate program documentation and customer communication. Track program performance throughout the program period and provide final results to Sales Management. Distinguish retained business, incremental growth, new-product growth, and competitive conversion, and report what was retained, grown, and converted, and what the growth cost. Commercial Forecast Coordination Coordinate the commercial demand forecast using input from customers, Field Sales, historical purchasing, programs, and identified opportunities. Build forecast inputs from historical SKU demand, open orders, customer commitments, and seasonal requirements. Incorporate Field Sales opportunities, sales programs and promotions, new-product introductions, new customer placements, competitive conversions, and known project opportunities. Translate commercial demand into expected SKU requirements by period and coordinate those requirements with Operations and Supply Chain. Compare expected demand with available inventory and incoming supply and identify material gaps or risks. The VP of Sales and Marketing reviews significant assumptions and commercial inventory commitments. New Product Introduction and Sales Readiness Once a product opportunity is approved, coordinate the commercial details required to make the product ready for sale. Coordinate part number and SKU, product name and description, specifications, and technical information. Coordinate cost, approved selling price, and margin information. Coordinate pack quantities, inner and master carton quantities, box dimensions, and product and shipping weights. Coordinate UPC, GTIN, and barcodes, required product codes, and country-of-origin information. Coordinate customer cross-reference and equivalent items, product images, and sales materials. Coordinate inventory requirements, initial forecast, ERP and item setup, and customer new-item setup. Coordinate samples, Field Sales communication, and launch timing. Serve as the primary internal coordinator for customer new-item and product-setup forms. The VP of Sales and Marketing owns the product opportunity, market positioning, pricing strategy, and commercial decision; this position ensures the operational sales-readiness requirements are completed. Order Management and Issue Triage Review incoming purchase orders for completeness and accuracy, including products, quantities, pricing, terms, and delivery requirements. Monitor significant open orders and backorders. Coordinate resolution of order discrepancies and triage freight and shipment issues. Coordinate returns and credits and assist with pricing and invoice discrepancies. Coordinate product questions requiring additional technical assistance. Maintain ownership until an issue has a clear resolution and customer communication is complete. Accounts Receivable Support Monitor assigned accounts for past-due balances. Proactively contact customers regarding outstanding invoices and obtain payment status and expected payment dates. Identify disputes preventing payment and coordinate resolution of pricing, freight, credit, documentation, and shipment discrepancies. Provide the VP of Sales and Marketing visibility to significant accounts receivable exposure. Identify payment or credit issues that may affect future customer sales. Field Sales Support and Sales Enablement Provide Field Sales with customer sales, pricing, and product information required to develop the market. Provide samples, product literature, presentations, and competitive comparisons. Provide program information, new-product information, and customer item-setup information. Provide lead information, planograms and merchandising materials, and trade-show materials. Respond to Field Sales requests while proactively identifying information or actions that improve sales execution. Market and End-User Database Build and maintain a structured commercial database covering distributors and dealers, dealer branches, contractors, growers, nurseries and horticultural operations, prospective customers, end users, and other market influencers. Capture contacts generated through Field Sales, trade shows, customer referrals, website inquiries, social media, promotions, and training activities. Segment contacts by geography, market, customer and end-user type, application, product interest, sales territory, and lead source. Maintain data quality and route qualified contacts and opportunities to the appropriate Field Sales representative. Develop the database as a sales-development asset rather than a marketing mailing list. Trade Show and Event Sales Support Maintain the trade-show calendar and deadlines and coordinate required registrations and documentation. Coordinate and ship booth materials, literature and sales collateral, product displays, and samples. Maintain trade-show material inventory and arrange shipment and return of materials. Prepare Field Sales with available customer and prospect information. Capture and organize show leads, distribute them to the appropriate Field Sales representative, and track post-show follow-up where practical. Support measurable customer and market-development objectives rather than event participation alone. Point-of-Purchase and Planogram Sales Support Develop customer-specific planograms and recommend product assortment and shelf sequence based on approved sales direction. Coordinate product facings and space allocation and maintain the product dimension and packaging information required for planogram development. Prepare presentation-ready planograms for customer line reviews and support new-product placement and category-expansion presentations. Coordinate basic point-of-purchase materials, including shelf signage, product cards, display headers, and product-selection guides. Coordinate required product images and information and maintain current planogram and merchandising files as products and assortments change. Marketing Support Provide marketing execution in direct support of the sales organization and at the direction of the VP of Sales and Marketing. Maintain approved sales collateral, product materials, and current versions of approved sales documents. Coordinate product images and digital sales assets. Coordinate approved social-media posting and content cadence. Liaise with global marketing resources to obtain existing photography, video, artwork, and product content, and adapt approved materials for sales use. Coordinate outside or global creative resources when more substantial design, advertising, video, or marketing expertise is required. The VP of Sales and Marketing retains ownership of marketing strategy, messaging, campaign direction, market positioning, and brand priorities. Qualifications Required Three or more years of experience in sales operations, inside sales, customer service, sales analysis, or commercial support in a manufacturing, distribution, or wholesale environment. Demonstrated ownership of customer accounts, including order management, issue resolution, and proactive customer communication. Strong analytical ability, including the preparation of recurring sales, pricing, and margin reporting. Advanced spreadsheet skills, including pivot tables, lookups, and report building. Experience using an ERP or CRM system for orders, pricing, item setup, inventory lookups, and reporting. Understanding of gross sales, discounts and rebates, net sales, cost, and gross margin. Strong organizational, problem-solving, and written and verbal communication skills, with the ability to prioritize competing demands. Personal accountability and consistent follow-through to completion. Preferred Experience with SAP Business One or a comparable ERP system. Experience in irrigation, agricultural products, horticulture, plastics, or light industrial manufacturing. Experience administering sales programs, rebates, or promotional agreements. Experience coordinating new-item setup with distributor, dealer, or retail customers. Experience supporting demand forecasting in coordination with Operations and Supply Chain. Experience with planograms, merchandising, trade shows, or sales collateral coordination. Associate or bachelor degree in business, marketing, supply chain, or a related field. New-product sales-readiness completion and customer item-setup accuracy. Field Sales responsiveness, lead delivery, and follow-up. Trade-show execution and planogram and merchandising support. Quality of commercial information provided to management. Work Environment and Physical Requirements Office environment within a manufacturing and distribution facility, with regular interaction on the production floor and in the warehouse. Extended periods of computer, telephone, and email work. Occasional lifting and handling of samples, literature, displays, and trade-show materials up to fifty pounds, with assistance or mechanical aid for heavier loads. Ability to safely wear required personal protective equipment when in production and warehouse areas. Occasional travel for trade shows, customer visits, and Field Sales support. Additional hours as needed during program periods, month-end, and peak season. Position Expectations Understand what customer and sales activity means to the business, not just what was transacted. Ask why a customer's sales declined, why margin changed, why an order has not shipped, why a product is unavailable, why a customer has not reordered, and why a program is not generating incremental business. Communicate clearly and promptly, and raise problems early rather than working around them. Be accurate and dependable with pricing, orders, reporting, and customer commitments. Be visible and responsive to customers, Field Sales, and internal departments. Make decisions and recommendations based on data. Take ownership of issues and opportunities through completion while supporting other duties as assigned. Sales operations, customer experience, commercial analytics, sales program execution, and sales enablement together define this position. Marketing activities exist primarily to support Field Sales, customer product placement, and commercial execution. The VP of Sales and Marketing determines where the business should go, Field Sales develops and converts market opportunities, and this position provides the customer support, commercial information, processes, coordination, tools, and follow-through necessary to execute that strategy and support profitable growth.
