Sales & Catering Specialist Hamilton Hotel - 4.4 Washington, DC Job Details 22 hours ago Qualifications Hospitality reservation systems Customer records maintenance Managing customer accounts Correspondence management Microsoft Excel Sales contract management Sales reporting Office activity coordination Email customer support Microsoft Outlook Sales collateral development Phone communication Marketing Hotel event planning Service scheduling Client inquiry handling In-person customer service Filing Client file management Project timeline management Managing catering events Accurate transaction records management High school diploma or GED Meeting scheduling Client database systems Customer payment reminders Sales quoting Hospitality Management Client management Sales management systems proficiency Full Job Description Key Responsibilities Provide administrative support to the Sales, Event, and Catering Managers Answer phone calls, emails, and customer inquiries professionally Prepare quotations, contracts, proposals, banquet event orders (BEOs), and sales reports Maintain client databases and filing systems Schedule appointments, meetings, site inspections, and event walkthroughs Coordinate with hotel departments regarding group bookings, catering requirements, and event logistics Assist Event and Catering Managers with planning and coordinating special events, banquets, conferences, weddings, and corporate functions Communicate event details with clients and internal departments to ensure successful event execution Assist in preparing event schedules, function sheets, and related documents Monitor event timelines and support day-of-event coordination when needed Assist in preparing marketing materials and presentations Follow up with clients regarding conformations, payments, contracts, and feedback Handle correspondence and distribute internal communications Enter and update sales and catering data in hotel management systems Maintain organized records and office supplies Qualifications High school diploma or equivalent; diploma or degree in hospitality, business administration, marketing, or related field preferred Previous hotel, catering, sales, or event coordination experience preferred Strong communication and interpersonal skills Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint) Excellent organizational and multitasking abilities Attention to detail and accuracy Professional appearance and customer service attitude Ability to work under pressure and meet deadlines Preferred Skills Knowledge of hotel reservation and catering management systems Understanding of sales, banquet, and event coordination processes Strong customer service and problem-solving skills Time management and administrative skills Working Conditions Office-based within the hotel property with occasional event-floor responsibilities May require flexible hours, including evenings, weekends, and holidays during events Frequent interaction with guests, corporate clients, vendors, and event organizers
