Purpose:
The Catering Coordinator is responsible for clerical, administrative, and other duties to assist in the smooth operation of the Catering department. He/she is also responsible for providing attentive, courteous, and efficient service to all guests.
Essential Functions:
Answers incoming telephone calls from all Catering lines Responds to telephone inquiries by determining client's needs and specifications for referral to Director of Catering Sales Processes all incoming correspondences Types outgoing correspondences when needed Maintains inventory of office supplies Ensures that all filing systems are maintained according to spec's Gathers and organizes all materials for weekly/monthly reports as directed Sells Food & Beverage to small ICW groups and Intimate Weddings Daily office duties to include Event Reader Boards, BEO Change Log, notifying clients for deposits due, final guarantees & when they are falling short of reaching their food and beverage minimum requirement. In charge of all paperwork involved when turning over a file from tentative and definite (PARF, estimate, room blocks, MOP, booking recap, suite request forms) Responsible for making sure that the front desk has wedding packets available Establishes rapport with Director of Catering Sales client(s) and functions as his/her liaison. Creates Resume Shells/Memos to assist the Director of Catering Sales Completes necessary documentation for telephone requests, amenity requests, key requests, banner requests, transportation request and vendor requests, suite requests and AV requests Assists with creating Banquet Event Orders (BEO's). Assists with making changes to BEO's Coordinates Food Tastings If needed, will assist with site visits. Works with Director of Catering Sales to ensure that all functions are "tied-down" 72 hours in advance (guarantees, floor plans, estimates, AV, wedding cake, entertainment, flowers, linens, etc.) Special projects as assigned by
Director of Catering Qualifications:
Must have working knowledge of Excel, Word, Outlook, Power Point. Must be organized and detail oriented. Must be able to handle multiple tasks at one time. Previous hotel, catering, and Delphi experience preferred. Must be able to work a flexible schedule including nights, weekends, and holidays. Physical Job Requirements (for essential functions only) The ability to sit and utilize telephone/computer for an entire shift.
