Company Overview Milescraft, Inc., based in Elgin, Illinois, is an established, financially strong, privately held company that designs, develops, and distributes innovative DIY tools globally. Our products are sold through leading retail stores and online retail sites. We are a fast-growing, dynamic company seeking a reliable, detail-oriented professional to support order processing, customer requirements, distribution operations, and reporting. We are looking for local Chicagoland-based candidates only. Position Summary The Administrative Support Specialist is responsible for supporting sales order entry, drop ship order coordination, customer documentation, ERP maintenance, reconciliations, reporting, and distribution-related administrative processes. This role requires strong attention to detail, excellent communication skills, comfort working with financial and operational data, and the ability to manage multiple priorities in a fast-paced environment. Excel is a must. Key Responsibilities
  • Enter and process sales orders received through email, customer portals, fax, web platforms, and EDI.
  • Manage drop ship orders for international customers, including sales order entry, purchase order processing, customer communication, and factory follow-up.
  • Create commercial documents and ensure compliance with customer requirements based on ship-to country, including labeling, payment terms, shipping requirements, and required forms.
  • Monitor order status to ensure timely shipment and documentation, following up with factories, customers, and warehouse personnel as needed.
  • Research and resolve customer shortages, overages, EDI issues, open invoices.
  • Support distribution center functions as needed, including invoicing as needed.
  • Ad hoc analytical support to other departments as needed.
  • Identify process improvements to increase accuracy and efficiency in daily transaction processing.
  • Provide administrative support for the management team and perform other duties as assigned.
  • Assist with reporting in Amazon Seller Central Accounts and matching up orders with payments. Qualifications
  • 2-3 years of experience in administrative support, operations, customer service, order processing, or a similar role.
  • Working knowledge of operations and distribution processes.
  • Experience using ERP systems, customer portals, EDI, Microsoft Office, and Excel.
  • Strong written and verbal communication skills.
  • Excellent time management, organization, and project management skills.
  • Ability to learn quickly, take initiative, and identify practical solutions.
  • College degree in accounting, finance, business, or a related field preferred; high school diploma or equivalent required. Position Requirements
  • Strong attention to detail and ability to multitask in a fast-paced environment.
  • Exceptional recordkeeping, documentation, reconciliation, and follow-through skills.
  • Excellent interpersonal skills and a customer-focused approach.
  • Strong computer skills and comfort working across multiple systems, customer websites, spreadsheets, and accounting records.
  • Ability to handle confidential financial and business information with professionalism and accuracy.
  • Ability to lift and move up to 40 lbs.
  • Occasional travel to the company's distribution center located within approximately one hour of the Elgin office may be required. Schedule Monday to Friday Benefits
