Job Description:
As an Inside Sales Assistant at SWAN Analytical USA, you will be at the forefront of our sales operations, actively engaging with customers, introducing them to our cutting-edge products and services, and playing an integral role in achieving our sales targets. Position Summary The Inside Sales & Sales Support Specialist provides day-to-day support to customers and the sales organization. This role is responsible for responding to customer requests, preparing quotations, maintaining the sales funnel and CRM, analyzing sales data, and supporting marketing and sales initiatives. The overall goal is to improve customer responsiveness, keep sales information accurate, and allow the field sales team to spend more time developing customers and opportunities. Key Responsibilities Customer & Sales Support Respond to incoming customer inquiries and sales requests. Prepare quotes for parts, consumables, accessories, replacement instruments, and other standard opportunities. Assist customers with pricing, product information, quote status, and general sales questions. Support sales representatives with customer information, pricing, quote history, and follow-up needs. Route technical or complex opportunities to the appropriate salesperson or internal resource. Quote Funnel & CRM Management Maintain and regularly review the open quote funnel. Ensure opportunities have accurate status, probability, expected dates, values, and follow-up information. Work with sales representatives to clean up aging or incomplete opportunities. Assist with follow-up on open quotations and identify opportunities that require additional attention. Maintain accurate customer, contact, lead, and opportunity information in IFS/CRM. Help improve overall CRM usage and data quality across the sales organization. Sales Reporting & Analysis Prepare recurring sales reports for sales management. Analyze sales by customer, territory, salesperson, product, and market. Track instrument quantities, revenue, quote activity, conversion, and other key sales metrics. Assist with budget-versus-actual analysis and forecasting. Use sales and customer data to identify trends, gaps, and potential opportunities. Marketing & Lead Support Support Marketing with customer lists, targeted campaigns, promotions, product launches, and sales communications. Help segment customers based on market, geography, product history, installed base, and other criteria. Coordinate and track leads generated through marketing campaigns, trade shows, website inquiries, customer training, and other activities. Assist with customer events, trade shows, training programs, and other sales initiatives. General Sales Support Assist with sales meetings, territory reviews, forecasting, and special projects. Coordinate with Marketing, Operations, Service, Finance, and other departments to help resolve customer and sales-related needs. Proactively identify areas requiring follow-up rather than simply waiting for requests from the sales team. Key Skills Strong organization, communication, customer service, follow-up, Excel and data analysis skills. Experience with CRM/ERP systems is preferred. This person should be detail-oriented, comfortable working with data, able to manage multiple priorities, and proactive in supporting both customers and the sales organization.
Requirements:
High school diploma or equivalent (Bachelor's degree preferred). Experience in sales and customer service is required Exceptional communication and interpersonal skills. A self-driven and results-oriented mindset, coupled with a passion for sales. Basic computer proficiency, including familiarity with CRM software and the Microsoft Office suite. Eagerness to embrace ongoing learning and adapt to new information and products. Technical understanding of our products and the water quality monitoring industry, or a willingness and aptitude to quickly acquire this knowledge.
