Full Job Description Description:

Aqua AIRHEAD Yukon Charlie's Inyo Pools Pureline At Helio Outdoors, we are seeking a highly organized, detail-oriented Sales Coordinator to join our growing Sales Operations team. This critical role will support their assigned salesperson and their accounts by ensuring accurate order execution, pricing integrity, inventory management, and marketplace optimization. The ideal candidate thrives in a fast-paced environment, excels at cross-functional collaboration, and brings strong analytical skills to drive operational excellence and sales growth across retail and ecommerce channels. The position will be based in our beautiful headquarters in Stoughton, MA.
Requirements:
Sales & Account Support:
Provide comprehensive support for their assigned salesperson and their accounts. Prepare and maintain quote summaries, pricing structures, forecasts and customer contracts. Coordinate and prepare for customer meetings, including presentations, pricing analysis, samples, and meeting logistics. Maintain accurate customer records across multiple systems and platforms. Identify opportunities to improve sales performance and operational efficiency.
Order & Inventory Management:
Review and analyze customer purchase orders to ensure accuracy and timely execution. Resolve order discrepancies and drive cross-departmental follow-up to ensure resolution. Track domestic and direct import orders to maintain on-time fulfillment. Maintain ownership of account data accuracy for both domestic and direct import orders.
Ecommerce & Marketplace Management:
Manage marketplace product content from initial setup through ongoing updates. Maintain and analyze line lists, product specifications, and item data to ensure accuracy. Monitor ecommerce orders for inventory availability; coordinate transfers and reorders to minimize out-of-stocks. Partner with Marketing on product listings, imagery, keywords, and competitive positioning. Identify and escalate marketplace issues to salesperson or rep group (content errors, compliance concerns, customer reviews, IP risks). Support MAP compliance requirements across assigned ecommerce platforms.
Cross-Functional Collaboration & Projects:
Collaborate closely with Sales, Marketing, New Product Development, Operations, and Asia-based partners. Inspect packaging to ensure specifications align with customer requirements. Manage ad hoc projects and support special initiatives as assigned. Contribute to process improvements and cross-training efforts to enhance team efficiency. Other duties as assigned.
Required Qualifications:
Minimum of 5 years of experience in sales support, ecommerce, account coordination, and/or customer service. Experience working with major retail accounts and/or ecommerce marketplaces such as Costco Wholesale, Sam's Club, BJ's Wholesale Club, CVS, Walgreens, Lowe's, Home Depot, Target, Dick's Sporting Goods, Amazon, Walmart and others. Proficiency in Microsoft 365 - advanced Excel skills (Pivot Tables, VLOOKUP, formulas), Word and PowerPoint. Experience with quote preparation, RFQ's, use of online customer portals, and marketplace systems. Strong analytical, organizational, and problem-solving skills. Strong written and verbal communication skills with the ability to effectively engage internal teams and external partners Ability to manage multiple priorities in a fast-paced, team-oriented environment. Demonstrates the 4 pillars of core values: teamwork, accountability, clarity of purpose, and relentless execution.
Preferred Qualifications:
Bachelor's degree preferred. ERP system experience preferred. Experience in consumer-packaged goods (CPG), seasonal products, wholesale, direct-to-consumer (DTC), and retail sectors is highly desirable.
