The Sales Coordinator will be responsible for managing the administrative and coordination side of our sales process. Our salespeople should be spending their time meeting customers, estimating projects, developing relationships, and closing business. The Sales Coordinator makes that possible by keeping the pipeline organized, scheduling appointments, tracking proposals, coordinating follow-up, maintaining our CRM, communicating with customers, and ensuring nothing falls through the cracks. You will work closely with our sales team, office staff, and management. Key Responsibilities Lead & CRM Management Enter and maintain all incoming leads in the CRM. Ensure lead information is complete and accurate. Assign and route leads appropriately. Maintain accurate lead stages and pipeline information. Monitor aging and inactive opportunities. Identify leads requiring follow-up. Make sure no customer inquiry or sales opportunity gets lost. Scheduling & Sales Support Schedule customer consultations, site visits, and sales appointments. Confirm appointments with customers. Coordinate cancellations and rescheduling. Help keep salesperson calendars organized and efficient. Prepare information and documentation needed for upcoming appointments. Handle administrative tasks that would otherwise take salespeople away from selling. Proposal & Estimate Coordination Track estimates and proposals currently being prepared. Assist with assembling and sending proposals. Ensure proposals and supporting documents are complete. Track outstanding proposals and required follow-up. Coordinate proposal revisions and supporting documentation. Maintain visibility into how long estimates have been outstanding. Customer Communication Provide professional communication with customers throughout the pre-contract sales process. Confirm appointments and provide scheduling updates. Follow up regarding documents, selections, deposits, signatures, and other required information. Respond to routine administrative questions. Make sure customers know what the next step in the process is. Contract & Project Handoff Ensure signed contracts and required documentation are complete. Confirm deposits and required customer information have been received. Organize project information before turnover to operations. Coordinate the transition from Sales to the Project Management team. Make sure project files are complete before handoff. Identify missing information before a sold project moves into production. Sales Pipeline & Reporting Maintain an accurate view of the company's active sales pipeline. Track new leads, appointments, proposals, sold projects, and lost opportunities. Monitor lead and proposal aging. Help track sales conversion and close rates. Prepare regular pipeline reports for management. Identify bottlenecks or opportunities that require management attention. Hold the sales process accountable to established follow-up standards.

$50,000.00 - $60,000.00 per year
