This role serves as a central coordination point between customers, estimating, sales, administration, and operations to help ensure bid opportunities, customer communication, follow-ups, awards, and project information move through the pipeline accurately and efficiently. This is not a traditional sales role . At CLP, the Sales & Preconstruction Administrator is responsible for the internal execution and organization of the sales pipeline. The role focuses heavily on bid management, customer communication, CRM management, follow-up discipline, documentation control, and sales administration within a fast-moving construction environment. The ideal candidate is highly organized, detail-oriented, customer-service driven, and comfortable managing many active opportunities simultaneously. This person must be able to follow up professionally and persistently with customers, estimators, and internal teams without losing track of deadlines, documents, or next steps. Experience within construction, subcontracting, electrical trades, estimating support, bid coordination, or preconstruction environments is strongly preferred. Key ResponsibilitiesBid & Opportunity Management Monitor incoming bid opportunities, invitations to bid, customer requests, bid boards, and sales inboxes. Create, maintain, and update project and opportunity records within CRM and company systems. Coordinate with estimating to ensure bid opportunities are properly assigned, tracked, updated, and delivered on schedule. Maintain visibility into active bids, rebids, budget pricing, pending awards, and customer activity. Support bid organization across multiple customers and opportunities simultaneously. Customer Communication & Follow-Up Serve as a professional point of contact for customers throughout the bid and preconstruction process. Send proposals, quotes, and supporting documentation to customers. Maintain disciplined follow-up activity regarding bid status, pricing feedback, award timing, and next steps. Follow up consistently and professionally without becoming discouraged by delays, non-responses, or changing timelines. Maintain strong customer service standards while balancing urgency and persistence. CRM, Reporting & Pipeline Control Maintain accurate CRM records, notes, follow-up tasks, statuses, and expected award timing. Help ensure pipeline visibility, reporting accuracy, and follow-up accountability across active opportunities. Maintain sales dashboards, bid logs, tracking sheets, and opportunity records. Identify missing information, outdated records, stalled items, or process gaps proactively. Award Documentation & Project Coordination Assist with documenting awarded projects including PO, LOI, subcontract, signed proposal, or written award confirmation. Organize and maintain project documentation including contracts, award emails, customer communication, and supporting files. Support coordination of project startup documentation, customer forms, and internal handoff information. Help ensure awarded projects are properly organized and prepared for transition to operations and project administration teams. Administrative Sales Support Operate across CRM systems, bid boards, spreadsheets, shared drives, email systems, and internal tracking tools. Support coordination between sales, estimating, administration, and operations teams. Assist with maintaining organization and consistency across the sales process. Help improve visibility, accountability, and communication throughout the preconstruction pipeline. Required Qualifications Excellent organizational and time management skills. Strong attention to detail and documentation accuracy. Prior experience using CRM systems and managing pipeline or customer records. Experience working with bid boards, construction bidding platforms, or project tracking systems strongly preferred. Strong written and verbal communication skills. Excellent customer service and relationship management skills. Ability to manage multiple active bids, deadlines, follow-ups, and priorities simultaneously. Comfortable following up persistently and professionally with customers and internal teams. Proficiency with Microsoft Office, spreadsheets, email, and shared file systems. Ability to work effectively in a fast-paced, deadline-driven environment. Preferred Experience Construction industry experience. Electrical, subcontractor, specialty trade, or preconstruction experience. Estimating coordination or bid management experience. CRM administration or pipeline tracking experience. Experience supporting sales teams within construction or project-based environments.
