The Sales Coordinator provides essential administrative and operational support to the Discover Long Island Sales Department. This position supports the sales team by keeping leads, projects, communications, events, and department initiatives organized and moving forward. This role is ideal for a highly organized, detail-oriented professional who is comfortable managing multiple priorities and deadlines in a fast-paced environment. The ideal candidate is proactive, adaptable, a strong communicator, and able to anticipate needs and think beyond the immediate task. The position requires someone who can quickly pivot when priorities change and who takes pride in providing reliable and background support to a team.
Position reports to:
Director of Sales Specific Responsibilities Include:
Provide day-to-day administrative and operational support to the Sales Department. Assist with lead distribution, follow-up, CRM updates, and tracking of sales activity. Maintain accurate and organized sales records, partner information, correspondence, reports, and department files. Coordinate logistics for trade shows, sales missions, FAM trips, client meetings, webinars, networking events, and other sales initiatives. Prepare correspondence, reports, presentations, itineraries, meeting materials, and other sales-related documents. Communicate with meeting planners, hotel and venue partners, and industry contacts on behalf of the Sales Department. Track deadlines, follow-up items, and outstanding requests to ensure timely completion. Assist with administrative needs. Anticipate departmental needs and proactively assist with tasks or issues before they become escalated. Support the Sales Department during travel, trade shows, meetings, and industry events. Assist with special projects and other administrative responsibilities as assigned. Qualifications Strong familiarity with Long Island and its geographic layout. Proactive mindset with the ability to anticipate needs and think beyond the immediate task. Exceptional organizational and time-management skills. Strong written and verbal communication skills, with the ability to communicate clearly and professionally. Strong attention to detail and accuracy, specifically with lead follow-up. Ability to manage multiple projects, priorities, and deadlines simultaneously. Flexible and comfortable adjusting priorities and pivoting when needs change. Strong follow-through and accountability. Ability to work independently while also being a collaborative member of the Sales Department. Professional, positive, and service-oriented approach when working with clients, partners, and colleagues. Proficiency in Microsoft Office, particularly Outlook, Word, Excel, Canva, MailChimp, and PowerPoint. Ability and willingness to learn new systems, including CRM and sales platforms. Willingness to travel occasionally within the New York City and tri-state area. $25.82 per hour Expected hours: 40.0 per week
