Job Description

Sales Coordinator Reports to Sales Director Position Summary The Sales Coordinator supports the Sales Department in driving revenue, developing new business, coordinating events, and providing exceptional service to clients and guests. This position serves as an important link between the Sales team, hotel operations, clients, and the local community. The ideal candidate is organized, proactive, personable, detail-oriented, and comfortable balancing administrative responsibilities with guest-facing and community outreach activities. Key Responsibilities Prospecting & Business Development Actively prospect for new social, catering, group, and event business through phone calls, emails, networking, referrals, community outreach, and other sales initiatives. Identify and develop relationships with local businesses, organizations, event planners, community groups, and potential clients. Conduct outreach to generate new leads and build a strong sales pipeline. Assist the Sales team with follow-up activities and converting prospects into confirmed business. Lead Management & Client Communication Respond promptly and professionally to incoming sales, group, social, catering, and event leads. Gather event and client requirements and provide appropriate information regarding hotel services, meeting spaces, catering, accommodations, and available packages. Follow up with leads in a timely manner and maintain accurate records of communications and opportunities. Assist with proposals, contracts, correspondence, and other sales-related materials as needed. Event & Catering Support Assist with the planning, coordination, and execution of social events, catering functions, meetings, and group programs. Work closely with clients and hotel departments to ensure event details are communicated accurately and executed successfully. Assist with event setup, client needs, site visits, and day-of-event support when needed. Help ensure a positive guest and client experience from the initial inquiry through the completion of the event. Property Management System & Administrative Support Utilize the hotel's property management system (PMS) and related systems to accurately input and maintain group blocks, events, rooming information, contracts, and other sales-related details. Maintain organized and accurate files, records, calendars, and client information. Assist with reports, forecasting, sales tracking, and other administrative duties as assigned. Ensure all event and group information is entered accurately and communicated to the appropriate hotel departments. Community Outreach & Networking Represent the hotel at community events, networking functions, business meetings, trade shows, and local activities to promote the property and generate new business. Build and maintain strong relationships within the local community. Identify opportunities to increase awareness of the hotel's guest rooms, meeting spaces, catering services, and event offerings. Participate in hotel sales initiatives and promotional activities. Front Desk & Hotel Operations Support Step in to assist the Front Desk team when needed , particularly during busy periods or staffing needs. Provide friendly and professional service to hotel guests while supporting front office operations. Assist with guest inquiries and other operational needs as directed. Teamwork & Customer Service Maintain a professional, positive, and service-oriented approach with clients, guests, vendors, and coworkers. Collaborate effectively with Sales, Front Desk, Food & Beverage, Operations, and other hotel departments. Maintain confidentiality and professionalism when handling client and guest information. Perform other duties and special projects as assigned by management. Qualifications Previous experience in hotel sales, hospitality, events, catering, customer service, or a related field preferred. Strong verbal and written communication skills. Excellent organizational and time-management abilities. Comfortable with prospecting, networking, and making outbound sales calls. Strong attention to detail and ability to manage multiple priorities. Proficient with Microsoft Office and comfortable learning and using hotel property management and sales systems. Professional and personable demeanor with a strong commitment to customer service. Ability to work independently while also functioning effectively as part of a team. Flexibility to attend occasional community events, networking functions, and hotel events outside of standard business hours. Ability to step into front desk and other operational responsibilities when business needs require. Success in This Role Success in this position is measured by the ability to consistently generate and respond to leads, support the sales pipeline, build community relationships, accurately coordinate group and event details, provide exceptional client service, and contribute to the overall success of the hotel's Sales and Operations teams.
Pay:
$22.00 - $25.00 per hour
