Sales & Operations Coordinator Job Summary The Sales & Operations Coordinator serves as the central hub for our company, bridging the gap between customer service, sales, and the production floor. This role is responsible for the full lifecycle of a customer order—from initial inquiry and data entry in SYSPRO to production paperwork generation and final invoicing. Sales Operations & Order Management Order Processing:
Receive incoming customer orders, enter them into SYSPRO , and issue formal Order Acknowledgements with anticipated ship dates.
Customer Liaison:
Act as the primary point of contact for current customers; maintain the "Current Order" whiteboard and update the sales pipeline.
Shipping & Invoicing:
Create packing lists, verify product specifications (roll lengths/labels), and generate/distribute final sales invoices and COAs after shipment. Sales Account Management— Performs account management activities for existing customers as well as new potential prospects. This includes sales forecasts, quotation generation and tracking. 2.
Production Coordination & Inventory Documentation:
Generate "Lot #" paperwork packets, including extrusion/foaming sheets and roll labels, and distribute them to production operators.
Data Integrity:
Perform daily entry of production data into Excel and SYSPRO; close out jobs and reconcile inventory variances.
Quality Compliance:
Assist in the collection, creation, and filing of documents required for
ISO:
9001 standards. 3.
Marketing & Sample Management Collateral Support:
Design and produce physical and digital materials, including business cards, signage, data sheets, and PowerPoint presentations.
Sample Kits:
Manage the sample room inventory. This includes cutting/labeling foam samples, creating personalized letters for recipients, and maintaining organization.
Trade Shows:
Act as a brand ambassador by greeting potential customers, collecting lead information, and managing follow-up communications. Further includes trade show follow-up activities.
Qualifications & Skills ERP Experience:
Proven proficiency in SYSPRO or similar Enterprise Resource Planning software.
Technical Literacy:
Advanced skills in Microsoft Excel (data tracking/reconciliation) and PowerPoint. Attention to
Detail:
Ability to catch inventory errors and ensure specific customer labeling/shipping requirements are met 100% of the time.
Creative Aptitude:
Basic graphic design skills for creating labels, signage, and marketing materials.
Communication:
Strong verbal and written skills for interacting with everyone from shop floor operators to executive leadership and external customers. Physical Requirements Ability to work in both an office and a warehouse environment.
Pay:
$49,000.00 - $64,000.00 per year
