About the Position The Event Sales & Hospitality Coordinator is one of the first people our prospective clients meet. This person guides clients from their initial inquiry through booking and event planning, creating a warm, organized, and professional experience at every step. This is a relationship-focused sales and coordination position. You will learn what matters to each client, develop customized proposals, communicate our value, and help turn their vision into a well-planned event. Because we are a growing boutique catering company, everyone occasionally pitches in beyond their primary role. The right person will be adaptable, positive, and willing to help the team wherever needed. Primary ResponsibilitiesEvent Sales and Client Relationships Respond promptly and professionally to new event inquiries. Conduct discovery calls and guide prospective clients through the sales process. Create customized proposals, menus, contracts, and invoices using HoneyBook. Follow up consistently with prospective clients and maintain an organized sales pipeline. Communicate Cleveland Field Kitchen's services, values, and approach with warmth and confidence. Build lasting relationships with clients, venues, planners, and industry partners. Participate in venue tours, networking events, tastings, and business-development opportunities. Event Planning and Coordination Guide booked clients through the planning process. Coordinate event details, timelines, rentals, floor plans, guest counts, and service needs. Schedule and attend client meetings, tastings, walkthroughs, and site visits. Maintain accurate client files, notes, tasks, and event information. Work closely with our culinary, hospitality, and operations teams to ensure event details are clearly communicated. Attend select events to support the client and team and help ensure an exceptional guest experience. Identify potential challenges early and communicate proactively with clients and team members. Team and Business Support Participate in weekly sales and operations meetings. Support venue partnerships, marketing initiatives, social media content, and special projects as needed. Assist with event preparation or other operational responsibilities when necessary. Contribute to a positive, collaborative, and solutions-focused workplace. Required Qualifications At least two years of experience in event sales, catering sales, wedding planning, venue sales, hospitality, or a comparable client-facing role. Excellent written and verbal communication skills. Strong sales instincts and the ability to build trust with prospective clients. Exceptional organization, accuracy, and attention to detail. Ability to manage multiple clients, events, priorities, and deadlines simultaneously. Professional, warm, responsive, and confident when working with clients. Ability to work independently while collaborating with a close-knit team. Comfortable using technology and learning new systems. Availability for occasional evenings and weekends. Valid driver's license and reliable transportation. Some administrative work may be completed remotely when appropriate however, we want to be clear that this is an in-person position. The typical schedule includes weekday business hours, but occasional evenings and weekends are required for client meetings, tastings, networking events, site visits, and event support. Hours may vary based on the seasonal nature of the catering business.
