Job Description

Company Overview Checkpoint Surgical is a privately held medical device company based in Cleveland, Ohio that provides technologies for surgeons who repair and protect peripheral nerves. We work with surgeons to advance the science and practice of peripheral nerve care through research, education, and innovative product development. Our products are used in the operating room, in procedures where the outcome is a patient's function: their hand, their arm, their face. We sell through a hybrid commercial model of direct representatives and distributor partners across the United States and 20+ foreign markets, and we are growing rapidly. The Role This is an organizational and administrative role at the center of our commercial operation, sitting within the sales organization and working closely with our VP of Sales and regional sales leadership. You will own two core areas. First, distributor contract execution and file management: ensuring that every agreement in our distributor network is properly executed, filed, tracked, and current. Second, regional sales meeting coordination: owning the logistics, materials, and follow-through for our quarterly field training events and regional sales meetings. If you are someone who takes pride in keeping things organized, on time, and accounted for, and who can manage multiple moving pieces without things falling through the cracks, this role will suit you well.
Key Responsibilities Distributor Contract Execution and File Management:
Manage the full documentation package for distributor agreements from initiation through execution, including distribution agreements, territory and product schedules, and compliance documentation Track execution status, effective dates, renewal deadlines, and amendments across the full distributor network Maintain an organized, auditable contract file system so any agreement can be located and verified quickly Follow up with internal stakeholders and distributor partners to move unsigned or incomplete documents to closure Maintain the forward calendar of agreement expirations and flag upcoming renewals to sales leadership in advance Support roster management for distributor reps
Regional Sales Meeting Coordination and Logistics:
Own end-to-end logistics for quarterly field training events and regional sales meetings, including venue, travel, lodging, catering, AV, and materials Build and distribute meeting agendas, coordinate presenter schedules and slide submissions Track attendance action items coming out of each meeting and follow up to closure Support national sales meeting logistics as needed Coordinate the sales leadership team's internal meeting rhythm: scheduling, agendas, and action item tracking
General Administrative Support:
Serve as the internal point of contact for distributor administrative questions, routing issues to the right person when needed Produce recurring administrative reports on a standing cadence as directed by sales leadership Provide light office administrative support as needed, including managing incoming mail, ordering supplies, and supporting general office operations for the Independence corporate office Required Qualifications 2+ years in an administrative, sales support, contract administration, or event coordination role Demonstrated ability to manage and organize high volumes of documents and files with precision Experience tracking contracts, agreements, or structured paperwork through execution — including status, dates, and follow-up Experience coordinating meetings, training events, or multi-party logistics, including agendas, materials, and vendor management Strong organizational skills and follow-through — you close the loop without being reminded Clear written and verbal communication with sales professionals, distributor partners, and internal stakeholders Proven discretion handling confidential business and personnel information Proficiency in Microsoft Office, particularly Excel and Outlook Preferred Qualifications Experience in medical device, healthcare, or another regulated industry Familiarity with a hybrid direct and distributor sales model Experience with NetSuite, Salesforce, or another ERP or CRM system Event planning experience at the scale of a regional or national field meeting What We Offer Competitive base salary + performance-based bonus 401(k) with strong company match Full medical, dental, and vision benefits Career development in a high-growth medical device company
