Job Description
Pre-Construction Sales Support & Administrative Coordinator Part-Time | Flexible Schedule Overview We are seeking a highly organized and dependable Pre-Construction Sales Support & Administrative Coordinator to join our custom homebuilding team. This is a part-time position offering flexibility in scheduling and is ideal for someone who enjoys working with customers, managing details, and keeping multiple projects organized and moving forward. In this role, you will provide administrative and customer support throughout the pre-construction process, working closely with our Sales and Production teams, customers, local building departments, utility providers, and other project partners. The ideal candidate is detail-oriented, proactive, customer-focused, and an excellent communicator who is comfortable managing multiple customers and priorities at the same time. Strong follow-through is essential, as this position plays an important role in making sure required documents, permits, utilities, and other pre-construction items are completed on schedule. Key Responsibilities Provide communication and guidance to customers throughout the pre-construction phase. Maintain accurate customer information, prepare project files, checklists, and records throughout the pre-construction process. CRM management Communicate regularly with customers regarding required documents, assist in the obtaining necessary building permits, responsibilities, deadlines, and next steps. Prepare and submit permit applications and communicate with township, county, building, zoning, and health departments as needed. Prepare and organize documentation for pre-construction meetings and the transition of projects to Production. Maintain accurate electronic and physical customer files and ensure signed documents are properly completed and stored. Respond to customer questions and concerns promptly, taking ownership of issues and coordinating with the appropriate team members through resolution. Provide additional administrative and customer support as needed throughout the homebuilding process. Manage customer enrollment in our warranty program Order office supplies, keep showroom organized, open mail, answer phone Maintain order forms for lighting, & plumbing packages Qualifications Previous experience in sales support, administrative coordination, customer service, residential construction, real estate, or a related field preferred but not required. Excellent organizational skills and attention to detail. Strong written and verbal communication skills. Ability to manage multiple customers, projects, deadlines, and priorities. Strong follow-through and problem-solving skills. Proficiency with iMac or Microsoft Office, email, databases/CRM systems, and electronic document management. Residential construction or homebuilding experience is a plus. Compensation $20/hour starting wage. Estimated 25-30 hours per week at our office in Milford, Ohio. Success in this role requires the ability to stay organized, communicate clearly, solve problems, and help ensure nothing falls through the cracks as customers move from Sales into construction.
