This position serves as a critical link between customers, sales, estimating, purchasing, and operations . The ideal candidate will be highly comfortable with numbers, possess strong problem-solving skills, and be able to take customer information—including basic drawings, floor plans, sketches, and measurements—and turn it into an accurate estimate and order. This is not simply an order-entry position. We are looking for someone who can understand the customer's project, determine what is needed, identify missing information, develop an accurate estimate, and help move the order through completion. A major component of the position will also be developing reorder templates, standardized estimating tools, and automated processes that allow Fedco to serve repeat customers more efficiently. Primary ResponsibilitiesInside Sales & Customer Support Respond to customer inquiries by phone, email, and other communication channels. Assist customers with product selection, pricing, availability, estimates, and orders. Develop a strong understanding of each customer's needs and purchasing patterns. Prepare quotes and estimates for new and existing customers. Follow up on open estimates and assist in converting opportunities into orders. Provide customers with accurate information regarding products, lead times, order status, and project requirements. Develop long-term relationships with repeat customers through responsive and knowledgeable service. Identify additional products or services that may be required to successfully complete a customer's project. Estimating & Drawing Takeoffs A critical component of this position is the ability to create accurate estimates from customer-provided information.
Responsibilities include:
Read and interpret basic floor plans, drawings, sketches, measurements, and customer layouts. Perform material takeoffs from drawings and measurements. Calculate square footage, linear footage, material quantities, waste factors, and other project requirements. Determine appropriate flooring materials, accessories, transitions, adhesives, underlayment, base, and related products. Estimate labor requirements when applicable. Convert takeoffs into complete customer estimates and orders. Identify missing or conflicting information before an estimate is finalized. Communicate with customers or sales representatives to obtain necessary project information. Review estimates for mathematical accuracy and completeness. The successful candidate must be able to look at a simple drawing, understand the project, perform the necessary calculations, and determine what is required to complete the job. Order Processing & Fulfillment Convert approved estimates into accurate sales orders. Verify products, quantities, pricing, customer information, delivery requirements, and job details. Coordinate product purchasing and availability as necessary. Track orders from initial entry through delivery or customer pickup. Communicate with customers regarding order status and anticipated availability. Coordinate with warehouse and operations personnel to ensure orders are properly prepared. Identify potential order issues before they affect the customer. Help resolve product shortages, discrepancies, backorders, and other fulfillment issues. Maintain accurate documentation throughout the order process. Project Coordination Manage multiple customer orders and projects simultaneously. Coordinate between customers, account managers, vendors, warehouse personnel, installers, and management. Maintain visibility into upcoming deadlines and material requirements. Follow up on outstanding information and action items. Help ensure projects move smoothly from estimate → approval → order → fulfillment → completion . Proactively identify problems rather than waiting for them to become emergencies. Reorder Templates & Order Automation A key objective of this position is to make recurring business easier and more efficient to process.
Responsibilities include:
Build standardized reorder templates for repeat customers. Create templates for recurring apartment units, floor plans, products, and project types. Maintain customer-specific product and ordering requirements. Develop standardized estimating and order-processing workflows. Identify repetitive administrative tasks that can be simplified or automated. Work with management to improve spreadsheets, software, templates, and internal systems. Help create processes that reduce duplicate data entry and order-processing errors. Continuously look for opportunities to process more orders with greater speed and accuracy. The goal is to build the process once and use it repeatedly , rather than recreating the same estimate or order every time a customer needs material. Required Skills & Characteristics The ideal candidate will have: Strong mathematical and numerical skills. Strong analytical and problem-solving abilities. Confidence communicating directly with customers. Ability to manage multiple orders and priorities simultaneously. Strong computer and spreadsheet skills. Ability to learn new software and systems quickly. A process-improvement mindset. Ability to work independently and make sound decisions. A natural tendency to identify problems and develop solutions. Preferred Background Experience or education in one or more of the following areas is preferred: Flooring or construction Interior Design Inside sales Estimating Construction takeoffs Order fulfillment Project coordination or project management Engineering or technical fields Math/Science Educator Construction management Operations Building materials or distribution Process improvement or automation Previous experience is beneficial but not necessarily required for a candidate with strong mathematical, analytical, and learning abilities. Speed from approved estimate to processed order. Customer responsiveness and satisfaction. Reduction in order-entry and fulfillment errors. Effective follow-up on estimates and customer opportunities. Successful coordination of orders through fulfillment. Development and utilization of customer reorder templates. Reduction in repetitive manual work. Improvements to estimating and order-processing systems. Ability to manage increasing order volume without sacrificing accuracy or customer service. The Person We Are Looking For We are looking for someone who combines customer-service ability with strong analytical thinking . This person should be comfortable talking to a customer about what they need, reviewing a drawing or measurements, performing the necessary calculations, creating an estimate, processing the order, and then making sure the customer receives what was promised.
