Job Summary The Sales Administrative & Support Specialist plays a critical operational role in facilitating sales growth, maintaining data integrity, and bridging communication gaps across the sales organization. This position serves as a central hub and reliable coverage backup for Regional Sales Representatives and Inside Sales Representatives. The ideal candidate possesses prior hands-on sales experience, allowing them to seamlessly step in to qualify leads, execute cold outreach, resolve customer inquiry backlogs, and keep sales cycles moving forward. With exceptional attention to detail, strong CRM expertise (specifically Oracle NetSuite), and an operational mindset, this role ensures all paperwork, trailer tracking, quote conversions, and account records are managed accurately and efficiently. Key Responsibilities & Essential Duties 1.
Operational & Administrative Sales Support Workflow Continuity:
Act as the main liaison between sales reps, customers, and internal departments (e.g., Master Scheduler, Marketing, Engineering) to eliminate sales process friction and keep team members focused on revenue generation.
Order & Inventory Processing:
Facilitate quote-to-sales-order conversions, generate shipping quotes, track inventory units, verify lead times, and monitor trailer build status for customers and reps.
Sales Order Auditing:
Review all incoming sales orders for ordering conflicts, option discrepancies, or accuracy issues before submitting to production.
Data Management & Record Storage:
Maintain accurate records for new orders, dealer onboarding packets, and order confirmations, storing all documentation on Google Drive and updating internal systems.
Trailer Tracking System:
Input and continuously update order data within the Trailer Tracking database to maintain real-time status accuracy.
Master Scheduler Liaison:
Research order discrepancies, follow up with sales reps on necessary order corrections, and notify production teams when updated orders are finalized.
National Accounts Administration:
Assist in managing and updating all specialized documentation, contact files, and performance records for major national accounts. 2. Coverage & Direct Support for
Sales Roles Regional Sales Rep Support:
Provide back-office and coverage support for out-of-office or traveling Regional Reps by answering customer inquiries, pulling quotes, updating CRM logs, and assisting with dealer network communication.
National Accounts Support:
Assist with major account administrative duties, custom proposal preparation, documentation of volume-tier pricing structures, and record updates.
Inside Sales Support & Lead Generation:
Perform prospect qualification for warm inbound leads, execute targeted cold calling initiatives, and distribute company sales literature or virtual website tours to potential customers.
Dealer Onboarding & Relationship Building:
Send introductory materials, collect completed dealer onboarding packets, distribute marketing collateral and promotional items (swag), and follow up on dealer lead conversions.
Qualifications & Requirements Sales & Industry Experience:
1-3 years of hands-on experience in sales, sales support, or high-volume sales administration (experience in trailer manufacturing, capital equipment, or heavy machinery sales is a strong plus).
Cold Calling & Lead Management:
Proven ability to make outgoing cold calls, qualify leads, gather client requirements, and drive sales activities.
Technical & Software Proficiency:
CRM Mastery:
Hands-on experience with CRM platforms; direct experience with Oracle NetSuite is strongly preferred.
Office Suites:
Advanced proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and/or Google Workspace (G-Drive, Sheets, Docs). Attention to
Detail:
High precision in administrative auditing, document control, order verification, and data entry.
Communication & Interpersonal Skills:
Excellent written and verbal communication skills with a professional demeanor when interacting with executive leads, dealers, and internal management.
