Job Description

Company Overview Norman Carpet and Flooring is a leading flooring contractor recognized for delivering high-quality flooring solutions. Overview The sales and operations coordinator plays a central role in supporting day-to-day operations across sales, purchasing, installation, and client services. This position works closely with commercial sales associates, installation teams, and senior leadership to ensure accurate documentation, timely order processing, and seamless internal coordination. The ideal candidate is detail-oriented, proactive, and comfortable managing multiple priorities in a fast paced environment Responsibilities Order Management & Sales Support Generate and process orders for designated sales accounts; place orders as needed when team is short-staffed Run payments and deposits; generate purchase orders as required Field incoming phone calls on behalf of commercial sales representatives when they are out of the office Check and communicate the status of open orders to internal teams and clients Administrative & Documentation Create submittals, close-out documents, work order invoices, proposals, and change orders Approve material invoices from receiving paperwork and ensure accuracy prior to processing Assist with printing, copying, and scanning of plans and project documents Provide backup coverage for office staff during absences Product & System Management (RFMS) Create and maintain product records in ERP program as needed Update individual product pricing and correct any data entry errors in the system Process claims in RFMS, apply credits and payments, and summarize claim reasons in coordination with the accounting team Work Order Auditing Conduct audits on open work orders, verifying: attachments, payment status, notes accuracy, contact information, stamped approvals, material ordering/reservation status, and alignment between PO lines and product descriptions Client & Sales Associate Support Support designated sales staff with day-to-day questions regarding product specifications Manage appointment scheduling and calendar coordination for assigned sales staff Assist clients directly with scheduling inquiries, product information, and selection guidance Respond to inquiries from Mill Sales Representatives seeking project information Claims Management Submit and follow through on claims for price and freight adjustments when the purchasing team is unavailable Gather supporting paperwork and create labor bills for reimbursement claims This is a full-time, in-office position. Regular interaction with sales staff, installation teams, clients, vendor representatives, and company leadership is expected. Some flexibility in daily tasks is required based on team needs
Pay:
$23.00 - $27.00 per hour
