This is not a traditional administrative-only Executive Assistant position. The person selected for this role will become a trusted extension of executive leadership and will be trained across multiple areas of the company, including executive operations, Business Credit, business development, property management, hospitality operations, networking, CRM management, and company systems. The right candidate should enjoy learning how businesses operate, solving problems independently, communicating with clients and prospects, and helping an entrepreneur turn ideas and priorities into completed actions. What You'll Do Executive Support Assist with calendar management, appointments, meetings, reminders, and deadlines Monitor and assist with company email and phone communication Conduct research and prepare information for meetings and business decisions Coordinate approved travel, events, networking opportunities, and occasional field activities Track executive priorities and follow up with team members when needed Prepare meeting notes, documents, research, and follow-up items Help ensure important tasks are completed rather than forgotten Anticipate upcoming needs and help the CEO stay organized and prepared Business Credit & Client Support Train extensively in D&J's Business Credit programs and processes Assist with prospective Business Credit client inquiries Help coordinate consultations and appointments Assist with student/client onboarding Track student progress and follow-up Maintain organized student/client information Respond to routine questions after completing the appropriate training Prepare information for CEO consultations Recognize when an issue requires executive escalation Business Development & Lead Generation Complete D&J Properties' Lead Generation Specialist training Learn HubSpot CRM and company sales pipelines Make approved outbound calls, texts, and follow-ups Assist with property-management, cleaning-service, Business Credit, and other company leads Qualify prospective clients and schedule appointments Maintain accurate CRM notes, tasks, and pipeline stages Follow up with prospective clients and business relationships Participate in company growth initiatives Networking & Relationship Development Research local and virtual networking opportunities Identify events involving real estate investors, property owners, Realtors, entrepreneurs, business owners, and potential Business Credit clients Recommend quality networking opportunities to the CEO Assist with registration, calendar coordination, and preparation Attend selected networking events when assigned Capture new contacts and business opportunities Enter appropriate relationships into the CRM and coordinate follow-up Company Operations Cross-train in D&J Properties' major departments and business functions Develop working knowledge of Hospitality and Property Management operations Understand owner onboarding, home evaluations, cleaning operations, property services, and company workflows Assist with cross-department projects and follow-up Learn how to identify which department or manager should handle an issue Help executive leadership maintain visibility across company operations Systems You'll Learn The Executive Assistant will be trained to use Connecteam, Outlook, HubSpot, QUO, ChatGPT, and additional D&J Properties systems and portals. Candidates should be comfortable learning technology and using AI responsibly for research, organization, drafting, troubleshooting, and productivity. Six-Month Executive Assistant Training Academy The selected candidate will participate in D&J Properties' structured six-month Executive Assistant Training Academy while working in the position.
Training progresses through:
Months 1-2: Lead Generation, Sales & Revenue Month 3: Hospitality & Property Management Operations Month 4: Business Credit & Student Support Month 5: Executive Operations & CEO Support Month 6: Live Executive Assistant Practicum & Certification Training includes company playbooks, professional training videos, system training, knowledge assessments, practical assignments, and live experience. Completion of six months does not automatically guarantee certification or advancement. Performance, reliability, initiative, systems competency, communication, follow-through, and demonstrated ability to perform the position are evaluated throughout the program. What We're Looking For The ideal candidate is professional, dependable, highly organized, entrepreneurial, comfortable communicating by phone, able to maintain confidentiality, willing to learn sales and Business Credit, comfortable with technology and AI, and capable of working independently without needing constant direction. We especially value someone who sees a problem and thinks: "Let me research this, figure out what I can handle, and bring back a solution." rather than immediately asking someone else what to do. Experience in real estate, property management, Business Credit, sales, entrepreneurship, executive support, hospitality, or CRM systems is helpful but not required if the candidate demonstrates strong learning ability and initiative. Schedule & Career Growth This position begins part-time at approximately 20 hours per week at $25.00 per hour. The position is being developed as a long-term executive support role within D&J Properties. As the company grows, there may be opportunities for increased hours, expanded responsibilities, advancement, and eventual full-time employment based on performance, successful training, company growth, and business needs. Important Training & Compensation Information:
This is a developmental Executive Assistant position. Candidates do not immediately enter the fully certified Executive Assistant position. The first two months focus on Lead Generation Specialist training and production, during which compensation follows D&J Properties' LGS compensation structure. Candidates then progress through additional operational and executive training. Upon successful completion of the Academy, demonstrated competency, and formal transition into the Executive Assistant role, the position is expected to begin at $25.00 per hour for approximately 20 hours per week.
