Front Desk Manager & Operations Lead (Part-Time → Full-Time)
Mental Health Group Practice Compensation :
Hourly Schedule :
Starting at ~20 hrs/week, scaling to 40 hrs/week as caseload and revenue grow
Reports To:
Practice Owner / Clinical Director A Note on This Role — Please Read First We are looking for a front desk manager and operational right hand — someone who runs the day-to-day of the practice, keeps our 4-5 therapists fully scheduled, follows up with patients, and helps build referral relationships in our local community to bring in more leads. This is a highly flexible, newly shaped role. You will have real input into how it evolves.
The path is intentional:
start part-time (~20 hrs/week), prove the impact, and grow into a full-time role (~40 hrs/week) as our therapists' schedules fill and the practice expands. Position Summary The Front Desk Manager & Operations Lead is the operational backbone of the clinic and the first point of contact for every client. You'll own patient scheduling, follow-up, front desk operations, and local practice collaborations that generate leads — freeing our therapists to focus entirely on direct patient care. This is a doer role. You'll be on the phones, in the EHR, and out in the community — not managing campaigns from a distance. Key Responsibilities Patient Scheduling & Follow-Up (Core Focus) Schedule and manage appointments for 3-4 therapists across multiple modalities Own the full scheduling pipeline: intake calls → booked appointment → reminders → rescheduling Follow up consistently with leads, waitlisted clients, and no-shows to fill open slots Keep therapist calendars full and utilization high — this is the primary measure of success Coordinate cancellations and backfill openings quickly to protect revenue
Front Desk Management:
Run the front desk: check-in/check-out, phones, email, and client communications Greet clients and maintain a calm, welcoming, confidential environment Verify insurance, collect copays/payments, and reconcile daily balances Maintain accurate client records in the EHR/EMR Uphold HIPAA compliance and clinic policies at every touchpoint Community & Referral Outreach (Lead Generation) Build and maintain relationships with local practices, PCPs, schools, and community organizations to generate referrals Represent the clinic at local networking events and coordinate collaboration opportunities Track referral sources and follow up with partners to keep the pipeline warm Support light marketing coordination as capacity allows (not the primary focus) Operations & Growth Identify bottlenecks and improve front desk/administrative workflows
Track KPIs:
no-show rate, fill rate, new client bookings, utilization per therapist Support the owner with scheduling, reporting, and practice growth initiatives Help train and onboard additional front desk support as the practice scales Eventually take on expanded operational ownership as the role grows to full-time What This Role Is NOT ❌ Not a marketing specialist or social media manager ❌ Not a remote content or campaign role ❌ Not a purely administrative/data-entry position with no client contact ❌ Not a role that stays part-time forever — the goal is to grow it to full-time
Qualifications Required :
2+ years in a medical/behavioral health front desk, patient access, or practice admin role Associates or bachelors preferred. Sales and business growth background. Highly energetic, motivated, goes above and beyond. Comfort with high-volume scheduling and EHR/EMR systems Warm, professional communication with clients in distress Self-starter who can operate independently in a flexible, evolving role Comfortable with local outreach and relationship-building
Preferred :
