Summary:
The Sales Administrative Supervisor provides direct support to the DOSM in the many different facets of the sales/marketing process, including daily administrative duties, preparing budgets, and reports, tracking/organizing sales inventory, and special projects. This position also supervises and assists in the hiring of new admins, onboarding, training, handling payroll, scheduling, and coaching. Undertakes the tasks of receiving calls, taking messages routing correspondence, and handling sales managers' requests and queries appropriately. Collaborates in the day-to-day marketing projects for the Hotel and assists in the back and forth between the Hotel and marketing/advertising vendors.Responsibilities:
Direct support to DOSM. Supervises day-to-day office operations and procedures. Provides overall support to the entire office. Ordering of office supplies/tracking. Maintaining of incoming invoices/tracking of payments. Organizing and monitoring of sales inventory (sales/marketing collateral and products). Provides support to DOSM in preparing marketing & room budget. Assists DOSM by providing marketing support, tracking, and organizing ad campaigns, photos, specials, packages, etc. Manages DOSM's calendar and appointments. Administrative point of contact between DOSM and internal/external clients. Must also fill in and assist Assistant Director of Sales and Sales managers as needed with day-to-day support/tasks such as preparing contracts, turnovers, proposals, VIP reservations, VIP amenities, site checklists, productivity reports, specialty reports, etc. Maintains showrooms and keys for sites. Assists with special projects, events, and site inspections. Assist in hiring new admins, onboarding, and training. Supervises admins/coordinator. Prepares payroll and schedule; handles timecards. Motivates, coaches, and counsels admins/support staff. Ensures admin work is running smoothly (turnovers, contracts, site forms, productivity reports, etc.). Participates in the admins/coordinator annual reviews along with sales managers. Comply with the company's drug-free and tobacco/nicotine-free policy. All other duties as assigned.Experience/Qualifications:
Minimum 3 years of related administrative support experience required. Minimum 1 year of related leadership experience required. Strong ability to manage multiple priorities (budgets, calendars, inventory, reports). Excellent time‑management skills. Detail‑oriented with strong follow‑through. Clear, professional communication with internal teams, vendors, and clients Ability to lift- up to 25 lbs. consistently and 50 lbs. infrequently. Must be able to legally work in the USA. Education and Certification(s)/License(s): High school diploma or equivalent preferred.
