General Manager / General Sales Manager Position Summary The BDC Manager is responsible for managing all inbound and outbound customer opportunities, maximizing appointment volume, improving appointment show rates, and converting internet, phone, chat, and unsold showroom leads into dealership visits and vehicle sales. The BDC Manager is accountable for speed-to-lead, lead follow-up, appointment setting, CRM compliance, database mining, employee performance, and measurable sales results. Key Responsibilities 1. Lead Management Ensure all internet, phone, website, chat, OEM, and third-party leads are handled promptly. Establish and enforce a strong speed-to-lead process, targeting initial response within 5-10 minutes during business hours. Ensure every lead receives consistent phone, text, and email follow-up. Monitor leads daily for overdue tasks, missed opportunities, and improper disposition. Ensure no viable lead is abandoned without proper management review. 2. Appointment Management Set clear daily, weekly, and monthly appointment goals.
Track:
o Appointments set o Appointments confirmed o Appointment show rate o Appointments sold o Lead-to-appointment conversion o Lead-to-sale conversion Confirm appointments professionally and provide accurate information to customers. Coordinate closely with sales managers to ensure customers receive a strong handoff upon arrival. Follow up immediately with missed appointments to reschedule. 3. CRM Management & Accountability Maintain accurate CRM records for every customer interaction. Ensure calls, texts, emails, appointments, notes, and outcomes are properly documented. Audit CRM activity daily. Identify leads that have not received adequate follow-up. Prevent leads from being marked lost without legitimate reasons and proper documentation. Maintain accurate source attribution so management can evaluate marketing
ROI. 4. BDC
Team Leadership The BDC Manager is responsible for recruiting, training, coaching, scheduling, and holding BDC representatives accountable.
Conduct daily coaching on:
Phone skills Appointment-setting techniques Objection handling Product knowledge CRM utilization Text and email communication Follow-up discipline Monitor recorded calls regularly and provide coaching based on actual customer interactions. Maintain individual performance scorecards for every BDC representative. 5. Unsold Customer Follow-Up Ensure aggressive but professional follow-up of: Unsold showroom traffic Internet leads Phone opportunities Missed appointments Previous customers Lease maturity customers Equity customers Lost opportunities Work closely with sales managers to ensure unsold customers receive timely management follow-up. 6. Database Mining & Outbound Campaigns Develop outbound campaigns using the dealerships customer database, including: Previous sold customers Customers approaching lease maturity Customers with potential equity Service customers with vehicle acquisition opportunities Orphan owners Aged internet leads Lost sales opportunities Trade-in and vehicle acquisition opportunities Coordinate campaigns with dealership sales events, manufacturer incentives, and inventory needs. 7. Sales & Management Coordination Conduct a daily BDC-to-sales management handoff.
Communicate:
Todays appointments VIP/high-intent customers Vehicle of interest Trade information Customer concerns Special circumstances The BDC should create the opportunity; the sales management team must the showroom experience and close the sale. 8. Marketing & Lead Source Accountability Work with the GM/GSM to evaluate lead-source performance.
Track each source based on:
Number of leads Contact rate Appointment rate Show rate Sold units Lead-to-sale closing percentage Cost per lead Cost per appointment Cost per sale Identify low-performing lead providers and communicate findings to management. BDC Manager Key Performance Indicators The BDC Manager should be held accountable for a defined monthly scorecard that includes: Lead response time: Target under 10 minutes during business hours Contact rate: Monitor by lead source and employee Appointment set rate: Target approximately 40%+ of meaningful customer contacts Appointment show rate: Target approximately 50-60%+ Shown appointment close rate: Target approximately 40-50%+, depending on dealership process Overall internet lead-to-sale rate: Target approximately 10-15%+, adjusted for lead quality and source CRM task completion: Target 95%+ Phone call quality: Reviewed weekly Database/outbound activity: Tracked daily Sold units influenced by
BDC:
Tracked monthly Management should establish final benchmarks based on the dealerships historical performance, lead mix, market, and staffing Must have a valid Drivers License to operate vehicles. Convictions will be reviewed on a case-by-case basis. However, company policy does not permit the employment of candidates with some classes/ types of convictions.
