Position Summary The Farm Order Processing & Food Safety Coordinator is responsible for managing customer orders from receipt through final fulfillment. This position serves as the primary communication link between the farm, distributors, restaurants, retail stores, production teams, and customers. The position requires strong organization, attention to detail, computer skills, communication, and a strong commitment to food safety and product quality . This individual is the final line of defense before produce leaves the farm and must ensure orders are accurate, products meet quality standards, and all required food safety procedures and records are completed. Essential Responsibilities Customer Orders & Invoicing Receive and organize customer orders through email. Communicate professionally with distributors, restaurant owners, retail stores, and other customers. Enter and process orders accurately through the company's invoicing system. Create and process invoices using QuickBooks . Double-check customer accounts, pricing, quantities, and inventory before processing invoices. Identify order discrepancies and communicate with customers or management as needed. Maintain organized electronic records of orders and invoices. Order Packing & Fulfillment Pack customer orders accurately and safely into appropriate boxes and containers. Properly label all boxes and customer orders. Double-check each order against the invoice before it leaves the farm. Verify that the correct product, quantity, and customer are matched to each order. Coordinate with the processing room and harvesting teams to ensure orders are completed on time. Help ensure farm stores remain stocked with fresh produce. Monitor product inventory to reduce shortages and minimize product waste. Harvesting & Production Coordination Communicate daily with the Lettuce Harvester and Production Room teams regarding upcoming orders. Review customer orders and determine projected produce requirements. Prepare harvesting projections, preferably the day before , so harvesters can begin cutting produce early in the morning. Monitor available inventory against projected customer demand. Communicate changes in orders, shortages, or production issues immediately. Coordinate with production staff to ensure the farm can fulfill all scheduled orders. Assist with determining which products should be harvested first based on customer demand and freshness. Quality Control Serve as the final quality-control checkpoint before products leave the farm. Make food safety the highest priority in all processing, packing, storage, and shipping activities. Inspect produce to ensure it meets farm quality standards before being sent to customers. Monitor and document refrigerator/cold-storage temperatures. Monitor temperatures of vehicles used to transport produce when required. Monitor vehicles entering and leaving designated food production areas. Ensure processing bins and containers are properly washed, sanitized, and stored. Complete required daily food safety logs accurately and on time. Maintain proper documentation for traceability and food safety audits. Identify and report potential food safety risks immediately. Ensure refrigerators and cold-storage areas remain clean, organized, and sanitary. Follow all farm food safety procedures, sanitation requirements, and company policies. Inventory & Waste Management Monitor daily produce inventory. Compare physical inventory with invoiced and projected orders. Identify potential shortages before they affect customers. Monitor products approaching the end of their shelf life. Communicate with farm and store teams to move product where needed. Help maximize product utilization and minimize unnecessary waste. Ensure farm retail stores have adequate fresh produce available whenever possible. Communication & Team Coordination Maintain clear communication with: Farm Management Lettuce Harvesters Production Room Team Store Managers Drivers Invoice Processing Distributors Restaurant Customers Retail Customers Communicate order changes and production concerns quickly. Provide daily direction and projections to the harvesting team. Escalate customer, inventory, quality, or food safety issues to management. Work Schedule & Availability This position requires flexibility to work seven days per week when necessary to complete the day's orders and ensure customer commitments are met . The employee must be available to monitor orders, harvesting needs, product inventory, and food safety requirements throughout the production and shipping schedule. Early-morning coordination may be required to ensure harvesting is completed in time for customer orders. Required Skills & Qualifications Previous experience with invoicing, customer service, produce operations, agriculture, food processing, or logistics preferred. Proficiency with QuickBooks and email . Strong computer and organizational skills. Excellent attention to detail. Strong written and verbal communication skills. Ability to perform basic math and accurately verify quantities. Ability to prioritize multiple customer orders and deadlines. Ability to work independently and make appropriate decisions. Strong understanding of cleanliness and food safety. Ability to maintain accurate daily records and logs. Reliable attendance and strong work ethic. Ability to work in a fast-paced agricultural and food-production environment. Ideal Candidate The ideal candidate is extremely organized, dependable, detail-oriented, and proactive . They understand that an incorrect invoice, mislabeled box, poor-quality product, or missed food safety log can affect the entire operation and customer relationship. This person should take ownership of the entire order process—from receiving the customer's order, verifying inventory, coordinating the harvest, processing the invoice, packing and labeling the order, completing food safety checks, and ensuring the correct product reaches the customer on time.
