Job Description

Job Summary We are seeking a proactive and highly organized Scheduling Coordinator to join our dynamic team. In this vital role, you will manage appointment scheduling, coordinate calendars, and ensure seamless communication between clients, team members, and service providers. Your energetic approach will help optimize daily operations, improve customer satisfaction, and support the overall efficiency of our office environment. The ideal candidate is detail-oriented, tech-savvy, and excels in multitasking within fast-paced settings. Responsibilities Manage and coordinate appointment schedules for multiple departments using calendar management tools and software. Answer multi-line phone systems promptly with professional phone etiquette, directing calls accurately and efficiently. Maintain accurate records through data entry, filing, and updating client information in systems such as QuickBooks and Google Workspace. Provide exceptional customer support by addressing inquiries, scheduling appointments, and assisting with general office needs. Support office management tasks including filing, proofreading documents, and managing correspondence to ensure smooth daily operations. Assist with clerical duties such as typing reports, managing calendars, and supporting bookkeeping activities when necessary. Collaborate with team members to streamline processes, improve organizational workflows, and enhance overall office productivity. Qualifications Proven experience in office management or administrative roles with a strong background in clerical tasks and customer service. Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications. Familiarity with multi-line phone systems, phone etiquette, and front desk operations. Bilingual skills are a plus to effectively communicate with diverse clients and team members. Strong organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment. Experience using QuickBooks or similar bookkeeping software is preferred. Excellent typing speed and computer literacy to support data entry and document proofreading requirements. Previous experience as a receptionist or personal assistant is advantageous but not required.
