Job Description
The Administrative Associate will work hand in hand with office staff, over 20 faculty, 60+ graduate students, as well as postdoc & other researchers & invited guests. This person must be friendly and inviting, flexible, and excellent multi-tasker. This person will be responsible for all faculty affairs responsibilities, travel, equipment inventory, supply ordering, etc. Reconciling their travel and procurement cards and other departmental duties assigned by the Business Manager.
Required Qualifications Education:
High school diploma with 4 years of relevant work experience;Experience:
2-4 years of experience in an office setting.Knowledge, Skills, & Abilities:

Housed in the Ken and Blaire Mossman (1311 Cumberland Ave.) and Hesler Biology and Greenhouse (1406 Circle Dr.) Buildings, our research teams of faculty, undergrads, graduate students, and postdoctoral fellows are working on topics ranging from molecular structure to organismal levels. This position will be expected to become the office expert in faculty affairs; i.e., faculty job searches, promotion & tenure, faculty modified duties, faculty leave of absences, etc. This person will be the primary travel expert. This person will make hotel reservations, purchase airline tickets, make room reservations for lunches with speakers for the students, and all other travel issues. This Administrative will need to know travel policy inside and out and have a clear understanding of international travel. The travel reimbursements will need to be processed in a timely manner. This Administrative Associate will work with the faculty on creating a schedule for guests to include speakers, and faculty candidates. In addition, they will help faculty on other items to be determined. In addition, this person will order office supplies, process invoices, and petty cash reimbursements while ensuring proper accounting. They will reconcile their travel & procurement cards biweekly or as needed and ensuring proper accounting. This person will understand financial information for the department. This person will be the primary point of contact for equipment inventory, to include verifying departmental equipment during inventory time. They will be the backup to the graduate affair position, these duties would include overrides for students, and general knowledge of the system. Create letters for those who have donated to the department. They will work closely with the department head on the external advisory board. Key and room requests, and general administrative duties. Other duties, assigned by the business manager and department head, as needed.Benefits
