We work with physicians, research professionals, study participants, and pharmaceutical sponsors to conduct clinical research studies while maintaining a high standard of patient care, organization, professionalism, and regulatory compliance. We are looking for a dependable, organized, and professional Front Desk / Clinical Research Administrative Assistant to join our team and help support the daily operations of our research center. Responsibilities Greet patients, study participants, visitors, vendors, and sponsors in a professional and welcoming manner. Answer and route incoming phone calls, emails, and general inquiries. Schedule and confirm patient and research study appointments. Assist with patient check-in and collection of required demographic and administrative information. Maintain an organized front desk and reception area. Assist the clinical research team with administrative and clerical tasks. Scan, upload, organize, and maintain patient and research-related documents. Perform accurate data entry and maintain electronic and physical records. Communicate with study participants regarding appointments and follow-ups. Assist with recruitment calls and contacting potential study participants when needed. Coordinate communication between patients, research coordinators, investigators, and other staff. Maintain patient confidentiality and follow HIPAA requirements. Assist with office supplies, incoming mail, deliveries, and general office organization. Support the research team with additional administrative duties as the center continues to grow. Qualifications High school diploma or equivalent required. Previous front desk, receptionist, medical office, or administrative experience preferred. Experience in a medical office, clinical research center, physician's office, or healthcare environment is a plus. Strong communication and customer service skills. Professional appearance and demeanor. Strong organizational skills and attention to detail. Comfortable working with computers, email, electronic records, and Microsoft Office. Ability to multitask and stay organized in a fast-paced environment. Reliable, punctual, and able to work independently as well as part of a team. Ability to maintain confidentiality and handle sensitive patient information appropriately. Bilingual English/Spanish strongly preferred.
