Full Job Description Organization Overview:
Our organization is a philanthropic non-profit dedicated to increasing access to the justice system for people of limited means. We achieve our mission by providing grants and awards to non-profit organizations that offer free civil legal assistance across the state.
Position Overview:
We are seeking a highly organized and adaptable individual to join our team as a Grants Assistant. This role will primarily support the Grants Department, providing essential administrative and operational assistance as needed. The ideal candidate will play a key role in ensuring the smooth functioning of the department while also contributing to the overall success of our mission. Support for other departments with general administrative tasks may be required as needed.
Key Responsibilities:
Support FFLA's grants programs under the direction of the grants manager, including: Respond promptly and courteously to applicant and grantee inquiries. Assist with updates of grant documents (e.g., program descriptions, application forms, surveys, report forms, contracts, letters). Provide technical assistance to applicants. Review grant applications, including narratives, budgets and statistics, for eligibility and completeness. Assist in evaluating grant applications, along with other staff and board members. Compile and edit Excel spreadsheets of financial & statistical data. Schedule meetings and Zoom/Teams calls. Assist in preparing materials for committee and board meetings. Take meeting minutes. Provide reminders to grantees regarding reports and surveys. Review grant reports for compliance and assist in analyzing results. Compile, verify and submit payment information to the finance department. Guarantee quality control and ensure the accuracy of department data. Maintain and update grantee information in databases. Maintain and update Outlook contact lists. Maintain well-organized digital filing systems. Prepare and process mailings, including mail merge. Make copies, scan, and print documents. Participate in grants team meetings and professional development opportunities. Perform internet research relating to the nonprofit legal field, as assigned. Assist other departments when requested. Perform other duties as assigned.
Qualifications:
Bachelor's degree preferred or equivalent work experience. Previous experience in grant lifecycle administration or a support role within a nonprofit organization is highly desirable. Excellent attention to detail, time management, organizational, and people skills, with strong written and verbal communication abilities. Professional proficiency in Microsoft Office (Excel, Word, Outlook, PowerPoint), online surveys (JotForm), Zoom, Adobe Acrobat, and databases (Foundant Grant LifeCycle Manager, Financial Edge, or other databases) preferred. Ability to manage multiple responsibilities and adapt to shifting priorities in a fast-paced work environment. Ability to learn department-specific computer systems as needed. Must be able to work in-person at our Maitland office during standard business hours. Commitment to the mission and values of our organization.
Salary and Benefits:
The starting range for this position is $45,000-60,000, commensurate with experience. Our generous benefit package fully covers the cost of employee premiums for medical insurance, basic life and AD&D insurance (1x salary), and 60% short- and long-term disability coverage. We also provide reemployment and workers' compensation insurance. After one year of employment, we contribute 5% to the employee's retirement plan, regardless of whether the employee contributes. We additionally offer group dental and vision insurance, supplemental life/AD&D insurance, and other various group policies at the employee's expense. FFLA offers 11 paid holidays and 25 paid days off annually, pro-rated per pay period.
