Definition of Class This limited technical work involving the application of some of the basic principles and practices of a management discipline while participating in a county program or activity. An employee in this class performs within one of the disciplines such as classification, compensation, training, management analysis and budget analysis represented by classification series which have multiple levels of journeyman responsibility. Employees analyze varied data by applying the information against interpretive standards in the formulation of a recommended course of action. Work is performed along procedural methods and prescribed guidelines to accomplish specific assignments. Areas of study are limited to perceiving and understanding isolated parts of the system and does not involve the coordination of the total system. Work is received through specific project assignments and reviewed for adherence to instructions, plans and standards. Nature of Work Review of descriptions, records, charts, layouts, and diagrams to determine the propriety of the position classification, pay proposal, training profile, organization structure, processing flow, or space utilization by applying information against appropriate standards. Determines data requirements, sources, and parameters and schedules data collection within a prescribed time frame. Selects random samples based on variations and irregularities of the information sources available. Interviews, discusses, or audits by conferring with employees, program officials, or applicants to collect needed information. Prepares reports of findings and recommends appropriate course of action. Performs related work as required. Duties & Responsibilities This position develops a mastery of various case management systems - with primary responsibility for Placement Transfers. The employee is the primary staff person for entering Placement Transfers, and data entry and retrieval. The employee assists in reporting and providing back-up, developing a mastery of the paper and electronic Placement Transfer trail involved in data entry, as well as general software programs used by the AgenChildren and Youth. This employee assists with clearance checks in internal systems for potential out of home caregivers, and provides backup for certain data entry tasks. The employee is fully responsible for, or assists the Administrative Assistant in the Fiscal Unit with, compiling the following reports: Children and Youth 28, Service Activity Reports, Pennsylvania Department of Education 1305, Adoption and Foster Care Analysis and Reporting System (backup to administrative assistant), and various ad hoc reports. Helps with software training, and assists in new worker orientations. The employee has the capability of minimal to moderate trouble shooting for software issues with case management systems. Familiarity with other client information systems such as the Client Information Systems at the Department of Public Welfare County Assistance Office and the Pennsylvania Court Record Search website at ujsportal.pacourts.us is helpful. Works with Juvenile Probation Office to monitor and maintain case management system as it relates to Juvenile Probation Office involved cases. Performs other duties as assigned. Knowledge of modern office practices and equipment. Ability to perform detailed work involving written information by preparing reports of finding according to appropriate standards of content, clarity, grammar, and format.
