The Assistant Director of Undergraduate Research in the Charles Center provides leadership and administrative oversight for undergraduate research initiatives. This position directs a comprehensive grant program supporting approximately 350 student researchers annually and manages related training, events, communications, application processes, and grant administration throughout the year. In addition, the Assistant Director oversees the James Monroe Scholars Program, which provides funding and support for summer research opportunities for academically distinguished students. Responsibilities include advising students through regular office hours and collaborating with faculty fellows who provide guidance on undergraduate research initiatives. As a member of the Charles Center's senior leadership team, the Assistant Director supervises one staff member and partners with the Center's director and staff to develop and expand innovative programs and opportunities that advance undergraduate research.

Required Qualifications:
Master's degree or equivalent combination of education, training and/or experience. Experience in higher education. Experience in student-facing roles such as advising and mentoring. Experience in program development, administration, and assessment. Strong verbal and written communication skills. A demonstrated ability to maintain effective working relationships with students, faculty, staff, administrators, and external constituencies. Proficiency in Microsoft Office suite programs.
Preferred Qualifications:
Experience in research center administration. Experience in fiscal management. Staff supervisor experience. Experience with technologies platforms such as Banner; Cascade or other web editing platforms; Qualtrics; SlideRoom or other student application platforms, etc. Experience with large-scale event planning.

Occasional evening and weekend work may be required.

  • Undergraduate Research Administration Serve as first point of contact for questions about undergraduate research in general and the summer research grant (SRG) process that encompasses multiple programs (including but not limited to Honors fellowships, freshman Monroe research grants, sophomore Monroe research grants, Catron program, and general Charles Center grants); advise students on how to get started in research, find an advisor, and apply for funding.
Facilitate faculty undergraduate research committee that reviews SRGs for all programs and coordinate review and award decision process. Manage online platform for student SRG applications for all programs and administer award letters, and student reporting requirements. Coordinate with staff and directors of other programs whose students receive SRGs facilitated by the Charles Center; to assist the promotion of and selection process for research opportunities with other units on campus that support undergraduate research. Oversees allocations and reconciliations of scholarship funds totaling $1.3 million for ~350 SRGs across multiple programs using restricted and unrestricted accounts while honoring fund restrictions and maximizing number of students receiving SRGs. Coordinate summer undergraduate housing process in collaboration with Res Life. Coordinate summer and academic year workshops for student researchers on how to get started in research; research skills; and how to present research in oral, visual, and written forms. Manage application cycle for Research in Motion Travel Grant, Semester Research Grants, and Undergraduate Research Dissemination Grants to review applications, make selections, and award funding. Utilize data analysis and industry best practices to develop and administer new undergraduate research programs in collaboration with the Charles Center Director, to meet student needs and University strategic goals. 20
  • Oversight for the Monroe Scholars Program Coordinate the James Monroe Scholars program in collaboration with the Charles Center Director and Program & Events Coordinator.
Advise the 600+ Monroe Scholars on campus research and funding opportunities and the SRG application process. Collaborate with the Office of Admission on the freshman Monroe Scholar recruitment process. Oversee recruitment and selection for rising sophomore and transfer Monroe Scholars. Coordinate enrichment series and other programming for Monroe Scholars including Freshman Orientation and Family Weekend Reception with Programming & Events Coordinator. Partner with Residence Life to facilitate Monroe Scholar Special Interest Community (SIC) programming. Facilitate First-Year Monroe Scholar Intro to Research Course to help students develop research ideas into a funding proposal for summer. 15
  • Communications and Events Maintain websites related to undergraduate research, summer research grants, and Monroe Scholars.
Plan and coordinate signature events including research opportunities fair, Catron reception, and symposia with the support of the Charles Center staff. Develop written content regarding undergraduate research and Monroe Scholars for Charles Center communications including but not limited to newsletters, websites, and correspondence with campus partners. 5
  • Committee/Board Participation Serve as a member of the Institutional Research Board to represent undergraduate student research interests and provide feedback on new proposed policies.
Collaborate with other IRB members and Research Analysts in the Office of Sponsored Programs to facilitate student understanding of human subjects' research ethical requirements and approval procedures. Serve on the Applied Learning for All Steering Committee to strengthen the impact of applied learning experiences on student development and career readiness. 5
  • Faculty Liaison Administer annual application process for Undergraduate Research Faculty Fellows representing different academic disciplines.
Work with Faculty Fellows to provide ongoing support for faculty mentors of student research and increase accessibility of research opportunities for students. Convene, train, and administer faculty Undergraduate Research Committee (URC) to review summer research grant proposals. Track URC membership and work with Charles Center Director to fill vacancies. 5
  • Performance Management Ensures that expectations are clear, well communicated, and relate to the goals and objectives of the department or unit.
Provides staff with frequent, constructive feedback, including interim evaluations as appropriate. Confirms that staff have the necessary knowledge, skills, and abilities to accomplish goals. Verifies that the requirements of the performance planning and evaluation system are met and completes evaluations by established deadlines with proper documentation. Addresses and documents performance issues as they occur. Reviews safety issues and communicates as appropriate to ensure a safe and healthy workplace.
