Job Description

Job Summary We are seeking a dynamic and detail-oriented Secretary/Bookkeeper to join our team! This vital role combines administrative excellence with comprehensive bookkeeping responsibilities, ensuring smooth office operations and accurate financial management. The ideal candidate will be proactive, organized, and possess a strong foundation in accounting principles and software. Your enthusiasm and precision will help drive our organization forward, supporting both administrative functions and financial integrity. Duties Manage daily administrative tasks including scheduling, correspondence, and document preparation to keep office operations efficient and organized. Maintain accurate financial records using accounting software QuickBooks Desktop Accountant version. Perform bookkeeping duties including journal entries, account reconciliation, bank reconciliation, and general ledger accounting to ensure financial accuracy. Handle accounts payable and receivable processes, ensuring timely payments and collections while maintaining detailed records. Conduct balance sheet reconciliation, account analysis, and general ledger reconciliation in accordance with GAAP (Generally Accepted Accounting Principles). Prepare financial reports, assist with budgeting processes, and support tax-related activities with precise data entry and documentation. Support payroll processing, tax filings, and compliance activities related to governmental accounting standards. Assist with accounts payable/receivable management and ensure all financial transactions are accurately recorded using various financial software tools. Perform 10-key typing tasks efficiently for data entry purposes while maintaining high accuracy levels. Support internal audits through detailed account analysis and documentation of financial transactions. Qualifications Proven experience in bookkeeping or accounting roles with familiarity in public accounting or non-profit accounting environments. Strong proficiency in accounting software - QuickBooks desktop accountant version. Knowledge of GAAP standards and technical accounting concepts including double entry bookkeeping, journal entries, debits & credits. Ability to perform bank reconciliations, account analysis, general ledger reconciliation, and balance sheet reconciliation accurately. Excellent organizational skills with the ability to handle multiple tasks efficiently in a fast-paced environment. Strong attention to detail coupled with excellent communication skills for financial report writing and documentation. Demonstrated understanding of budgeting processes and financial concepts necessary for effective account management. Join us to be part of a vibrant team dedicated to operational excellence!
