About Family RV Family RV is a growing California RV dealership in Morgan Hill, serving customers across Rentals, Service, and Sales. We are a tight-knit, performance-driven small business where every team member plays a visible role in delivering an exceptional customer experience. We are looking for a seasoned administrative leader to take on the day-to-day operational backbone of the dealership and partner directly with ownership. About the Role The Senior Office Manager is the operational hub of Family RV — running the office, supporting all three departments, and serving as the President/Owner's right hand on internal matters. This is a senior, autonomous role for an experienced administrative professional who is ready to take ownership of the dealership's day-to-day administrative, financial, HR, and DMV compliance functions. If you have run the administrative side of a dealership before and you are ready to do it again at a senior level — with real responsibility, real autonomy, and a direct seat next to the owner — this is the role for you. Key Duties Executive Support to the President/Owner
- Manage executive calendar, communications, and follow-up
- Prepare reports, memos, and internal documentation
- Track strategic priorities and operational deadlines
- Handle vendor, lender, lease, and property correspondence Office & Administrative Management
- Oversee day-to-day office operations across Rentals, Service, and Sales
- Maintain a customer-ready front office and welcome customers professionally
- Manage office supplies, equipment, and vendor coordination
- Answer phones and direct customer inquiries to the right department Accounting & Financial Support
- Process AP invoices, purchase orders, vendor files, and check runs
- Handle reconciliations, basic GL coding, and month-end support
- Track customer payments, deposits, and terminal balancing
- Coordinate with outside CPA and payroll provider HR & California Labor Compliance
- Own day-to-day HR administration: onboarding, employee files, terminations
- Maintain California labor compliance (wage & hour, leave administration, CFRA/PDL/FMLA)
- Track training documentation and policy acknowledgments
- Coordinate with outside HR consultants and employment counsel Payroll Administration
- Coordinate payroll with outside provider; verify hours, PTO, and adjustments
- Maintain payroll records and required tax documentation DMV & Dealership Paperwork Compliance
- Own DMV registration, title, and transfer packets
- Verify deal jackets for completeness before funding
- Maintain DMV logs and registration vendor relationships
- Ensure timely filings and secure handling of sensitive paperwork SOP & Process Development
- Develop, document, and maintain company SOPs across all departments
- Build process checklists and monitor adherence
- Drive continuous improvement of administrative workflows Light IT & Systems Coordination
- Serve as internal point of contact for basic IT setup and coordination
- Manage user accounts, email, phone extensions, and password resets
- Coordinate with outside IT vendors for issues beyond basic setup
Qualifications Required:
- 5+ years of progressive Office Manager, Operations, or senior administrative experience
- Strong accounting support background (AP, AR, reconciliations, GL coding, month-end)
- Working knowledge of California labor compliance and leave administration
- Experience coordinating payroll processing
- Proficient in Microsoft Office and Google Workspace
- Excellent written and verbal communication
- High organization, attention to detail, and ability to manage competing priorities
- Proven discretion with confidential matters
- Self-directed and comfortable operating with limited supervision
Strongly Preferred:
- Direct experience in an RV, automotive, marine, or equipment dealership
- Familiarity with DMV paperwork, deal jackets, and dealership workflows
- Experience with Peachtree/Sage (or equivalent) and a dealership management system / CRM
- Bilingual English/Spanish
- Prior experience supporting a President/Owner directly Work Environment
- On-site at our Morgan Hill, CA location
- Combination of desk work and occasional movement to service bays, lot, or rental area
- Ability to lift up to 25 lbs of office materials as needed
- Occasional after-hours availability for month-end, regulatory deadlines, or escalations Compensation & Benefits
