Job Description
Company Overview Rushco Energy Specialists has been a trusted HVAC provider since 1984, offering expert services to a diverse range of commercial clients. Our dedicated team of professionals is at the core of our success, delivering reliable and high-quality service in every project we undertake. Summary We are seeking a Service & Dispatch Coordinator for our Service Department Dispatch to oversee daily operations and ensure the smooth functioning of our service department. In this role, you will work closely with the Field Service Manager, Admin Service Manager, and another Service Coordinator. As the Service & Dispatch Coordinator, you will coordinate with multiple internal teams (service, project, and boiler departments), and ensuring excellent customer service at every touchpoint. You will be responsible for ensuring the efficient handling of service calls, coordinating service technician dispatches, and completing administrative tasks within the department. The ideal candidate is an excellent communicator, organized, and can thrive in a fast-paced environment. Key Responsibilities Act as a point of contact for the service department, coordinating departmental activities and working closely with others. Answer and manage incoming calls from customers, vendors, and technicians, providing timely and effective solutions. Collaborate with service, project, and boiler departments to schedule jobs and coordinate service calls. Dispatch technicians to service calls, ensuring that each job is appropriately scheduled and executed. Order necessary parts from vendors, track their delivery status, and follow up as needed to ensure technicians have the right materials. Maintain organized records of service calls, parts orders, and customer interactions. Provide exceptional customer service, maintaining a positive and professional demeanor in all communications internally and externally. Manage paperwork flow within the service department, ensuring accuracy and timely processing. Resolve issues quickly and effectively, working with other departments to ensure smooth operations. Participate in the on-call rotation for after-hours dispatch (with additional compensation). Utilize dispatch software and Microsoft Office applications (Excel, Word, Outlook) to manage and track departmental tasks. Qualifications Strong communication skills, both verbal and written. Proven ability to manage multiple tasks and priorities in a fast-paced environment. Exceptional organizational skills and attention to detail. Ability to adapt quickly to changing situations and work collaboratively with various departments. Comfortable with technology, including dispatch software and Microsoft Office applications. Previous experience in service coordination, dispatching, or administrative roles is a plus. HVAC industry experience is a bonus, but not required.
Additional Information Office hours:
Monday to Friday, 8 AM - 5 PM. This is a fully in-office position. Participation in the on-call dispatch rotation, with additional pay for after-hours shifts.
