Job Summary This position, Academic Advisor reporting to the Associate Director of Academic Advising, advises undergraduate students concerning the academic requirements for their chosen program. This position is responsible for assisting with courses election and the course registration process. This position provides information on and refers students to university resources that can assist in meeting their needs or solving problems; communicates accurate and timely information and interprets institutional, core, and major requirements. This position will play a vital role in maximizing student retention by building relationships with students. There are five open Academic Advisor positions. Two in The Peter J. Tobin College of Business, Two in The Lesley H. and William L. Collins College of Professional Studies and one in The Center for Student Success. Only one application is needed. Job Responsibilities Academic Advising:
70% Provides academic advising for students grounded in tenets of practice outlined by the National Association of Academic Advising (NACADA) and appropriate academic advising and student development theories. Advises for course selection, registration, academic planning, career and educational goal setting, appropriate resources, transitioning to the university, and retention issues. Document student advising outcomes adequately to meet department and institutional disclosure guidelines and aid in subsequent advising activities. Advises in both group and individual settings with current students. Perform appointment preparations including, but not limited to, reviewing all accessible academic records for accuracy and appropriateness of course work, communicating with academic departments for major-specific transfer equivalencies, and requesting the posting of approved transfer courses. Process academic forms and follow-up on processed forms to ensure that the student's record accurately represents the student's chosen major, minor, concentration, and catalog year. Interprets university and college policies and procedures. May be required to work beyond normal office hours including evening and/or on weekends.
Student Success & Retention:
20% Advocate for student needs associated with their educational and academic program. Clearly communicate accurate and timely information to students and interpret institutional, general education, and major requirements per the university catalog. Exhibit strong, active listening skills. Help students develop a realistic self-perception and successful transition into the university and help them to establish realistic goals for future endeavors. Monitors academic progress and implements intervention strategies for students who receive academic alerts or who need assistance in maintaining or improving their academic standing. Direct students to resources, programs, and services on campus when it is appropriate to do so. Help students integrate information so that they may make well-informed academic decisions. Work to establish a partnership with students that will guide them efficiently through their academic program.
Monitor students advising requirements:
Notify students of academic and faculty advising requirements when certain conditions have or have not been met. Maintain accurate and complete student file documentation. Prepare for, present, and advise at first-year student orientations. Support retention efforts include using the Salesforce CRM. Maintain a professional and cordial liaison with administrators, faculty, staff, students, and other involved constituents concerning advisees and program.

10% Complies with all university policies, regulations, rules, procedures, guidelines, and directives in timely manner and adhere to confidentiality policies (FERPA). May provide reports and data analysis of advising initiatives and special populations. Perform other duties as assigned. Competencies, Education, Experience Student-centered advising and commitment to student success Strong verbal and written communication skills Ability to build collaborative, supportive relationships with students and colleagues Critical thinking and problem-solving skills Knowledge of academic policies, degree requirements, and curriculum structures Proficiency with advising technologies and student information systems Cultural competence and commitment to supporting a diverse student population Strong organizational skills and attention to detail Professional judgment, integrity, and adherence to FERPA standards Ability to empower students through guidance, advocacy, and resource referral Required Qualifications Bachelor's degree from an accredited institution 1-3 years of experience in academic advising, student affairs, higher education, counseling, or a related field Strong interpersonal and communication skills Demonstrated ability to work effectively with a diverse student population Ability to interpret and apply academic policies, degree requirements, and institutional guidelines Proficiency with student information systems, advising software, and standard office applications (e.g., Microsoft 365) Strong organizational skills, attention to detail, and the ability to manage a high-volume caseload Ability to maintain confidentiality and adhere to FERPA regulations Demonstrated problem-solving skills and the ability to make sound, objective decisions PreferredQualifications Master's degree in Higher Education, Counseling, Student Personnel, or a related field 2-5 years of progressive experience in academic advising or student success roles Experience working in a college or university setting, particularly with developmental or intrusive advising models Familiarity with degree audit systems, retention platforms, and CRM tools (e.g., Banner, Slate, Navigate, Starfish, EAB) Experience working with first-generation, transfer, international, or academically at-risk students Training or certification in academic coaching, student development theory, or counseling techniques
Supplemental Information Work Environment:
This position operates in a professional office environment within a college or university setting. The role involves frequent interaction with students, faculty, and staff, requiring regular communication via email, phone, video conferencing, and in-person meetings. The employee routinely uses standard office equipment, including computers, phones, photocopiers, and digital advising platforms. The role may require occasional work outside of standard business hours during peak advising periods, such as registration or orientation.
Physical Demands:
Prolonged periods of sitting at a desk and working on a computer. Occasional lifting of files, boxes, or office supplies (up to 15 pounds). Manual dexterity required for keyboarding and document handling.
Environmental Conditions:
This role is typically performed in a climate-controlled office environment with moderate noise levels. Occasional travel between campus buildings or to external locations for meetings, orientations, or events may be required. The workplace environment is fast-paced during peak advising cycles, requiring flexibility and the ability to manage increased workloads.
Position Type/Expected Hours of Work:
This is a full-time position. Standard work hours are Monday through Friday, 8:30 a.m. to 4:30 p.m. Longer hours may be required to meet deadlines, as necessary.
