Full Job Description Position Summary:
The Center for Accessible Living (CAL) is seeking a Part-Time First Steps / KEIS Coordinator to support CAL's work with Kentucky's Early Intervention System. This position will help coordinate services, equipment, referrals, billing, and resources for infants and young children with disabilities or developmental delays and their families. The Coordinator will work closely with families, First Steps/KEIS providers, service coordinators, therapists, community partners, and CAL staff to ensure families have access to the assistive technology, equipment, information, and resources they need. This position is ideal for someone who enjoys working with children and families, is highly organized, and is passionate about disability services and helping children participate more fully in their homes and communities.
Essential Responsibilities:
Coordinate CAL's First Steps / KEIS services in the Louisville area. Receive, review, and respond to referrals from First Steps/KEIS service coordinators, therapists, families, and other providers. Communicate with families and providers regarding equipment needs, available resources, and next steps. Coordinate assistive technology and durable medical equipment needs for infants and young children participating in First Steps/KEIS. Assist with identifying, ordering, receiving, tracking, and distributing approved equipment. Maintain accurate documentation and records related to referrals, services, equipment, and program activities. Coordinate equipment demonstrations, loans, and other assistive technology services when appropriate. Work with CAL's assistive technology program and other CAL staff to identify equipment and resources that may benefit children and families. Provide families with information and referrals to CAL programs and other community resources. Build and maintain relationships with First Steps/KEIS service coordinators, therapists, providers, and community organizations. Participate in meetings, outreach activities, trainings, and community events related to early intervention and disability services. Educate community partners and families about CAL services and available assistive technology resources. Complete and submit billing for First Steps / KEIS services in a timely and accurate manner. Ensure required documentation is complete and supports all services and equipment being billed. Track submitted claims, payments, denials, and outstanding balances and follow up on billing issues as needed. Work with CAL's finance and administrative staff to resolve billing discrepancies and ensure accurate reimbursement. Maintain organized billing records and assist with reconciliation or reporting related to First Steps / KEIS services. Assist with program reporting, data collection, documentation, and other administrative requirements. Help ensure services are provided and billed in accordance with First Steps/KEIS requirements and CAL policies. Support outreach efforts to increase awareness of CAL's First Steps/KEIS services throughout the Louisville area. Perform other duties related to the program as assigned.
Qualifications:
High school diploma or equivalent required; associate or bachelor's degree in social services, education, early childhood development, rehabilitation, disability studies, business administration, healthcare administration, or a related field preferred. Experience working with children, families, individuals with disabilities, early intervention programs, healthcare, billing, or community-based services preferred. Knowledge of or willingness to learn Kentucky's First Steps / Kentucky Early Intervention System. Experience with billing, claims, invoicing, reimbursement, or documentation is preferred. Knowledge of assistive technology or adaptive equipment is preferred but not required. Strong organizational and time-management skills. Ability to manage multiple referrals, billing deadlines, documentation requirements, and follow-up responsibilities. Strong attention to detail and accuracy. Strong written and verbal communication skills. Ability to communicate professionally and compassionately with families, providers, and community partners. Comfortable using computers, electronic records, billing systems, email, and basic office software. Ability to work both independently and collaboratively as part of a team. Valid driver's license and reliable transportation for local travel as needed.
Preferred Skills:
Experience with First Steps/KEIS or other early intervention services. Experience with healthcare, Medicaid, First Steps, or third-party billing. Experience reviewing documentation for billing compliance. Experience tracking claims, payments, denials, or outstanding reimbursement. Experience with assistive technology, durable medical equipment, or pediatric adaptive equipment. Experience working with occupational therapists, physical therapists, speech-language pathologists, service coordinators, or other early intervention professionals. Familiarity with disability resources and community services in Louisville and surrounding areas. Experience with program coordination, case tracking, referrals, documentation, grant-funded programs, or financial reporting.
Physical and Work Requirements:
This position may require local travel, attending community events, transporting or demonstrating assistive technology equipment, and occasionally lifting or moving equipment. Reasonable accommodations will be provided as needed. About the Center for
