$20.00-$24.00 per hour, depending on experience and qualifications, with opportunities for advancement. This position offers the potential to progress to salaried status as the employee demonstrates growth, proficiency, and success in the role. Position Summary The Community Relations Coordinator provides administrative, operational, Family Services, hospice outreach, marketing, and project support to the Director of Community Relations. This position requires a highly organized, dependable, and proactive individual who can manage multiple priorities, work independently within established guidelines, communicate professionally and compassionately, and take ownership of assignments through completion. This position includes comprehensive on-the-job training to support the development of the specialized knowledge, systems, and procedures required for the role. Participation in shared, assigned on-call coverage, including days, evenings, nights, weekends, and holidays, is an essential function of the position. Primary Responsibilities Administrative & Project Support — Primary Responsibility Coordinate departmental and organizational projects from assignment through completion. Maintain calendars, project timelines, deadlines, tracking systems, and follow-up. Prepare reports, spreadsheets, presentations, correspondence, forms, and meeting materials. Assist with creating, updating, and maintaining Standard Operating Procedures (SOPs). Maintain organized electronic files, databases, records, and departmental documentation. Coordinate meetings, hospice in-services, materials, printing, supplies, and other logistical needs. Monitor outstanding assignments and deadlines and proactively ensure appropriate follow-through. Support quality assurance, workflow improvement, and departmental initiatives. Family Services Support — Second Priority Assist with donor registration and donor/family communication following appropriate training. Communicate compassionately and professionally with donors, next of kin, surrogate decision-makers, hospice professionals, and families. Maintain accurate donor records and assist with referrals and cases requiring follow-up. Provide backup Family Services coverage as needed. Enter and update required information in the Arizona DAVE system related to death certificate registration and processing. Assist with death certificate documentation and related follow-up. Assist with the transfer and documentation of cremated remains. Share responsibility for delivery of cremated remains to families or other authorized recipients. Maintain appropriate documentation and chain-of-custody procedures associated with cremated remains. Coordinate delivery arrangements and related family communication as assigned. Maintain confidentiality and follow established SOPs and organizational procedures. Escalate complex, unusual, or sensitive matters to the Director or appropriate leadership. Hospice & Community Outreach — Third Priority Coordinate hospice in-services, presentations, and community outreach activities. Prepare educational and informational materials. Maintain hospice, healthcare, and community contact information. Track outreach activities, referrals, presentations, and follow-up. Support communication and relationship-building with hospice nurses, social workers, clergy, healthcare professionals, and community partners. Assist with healthcare fairs, educational programs, community events, and networking activities. Professionally represent Bright Bioservices in the community as assigned. Shared On-Call Coverage — Essential Function Participation in shared, assigned on-call coverage, including days, evenings, nights, weekends, and holidays, is an essential function of the position. Respond promptly and professionally to donor inquiries, hospice referrals, families, and other time-sensitive needs. Complete appropriate registrations, documentation, follow-up, and handoff communication. Follow established procedures and escalate complex situations when appropriate. Maintain dependable availability during assigned on-call periods. Marketing, Social Media & Communications Develop and schedule social media content. Create professional graphics, flyers, invitations, educational materials, and presentations. Support marketing campaigns and community awareness initiatives. Assist with website and digital content updates. Maintain consistency in organizational branding and messaging. Assist with photography and content development for organizational and community events. Monitor basic social media engagement and help maintain a consistent online presence. Events & Special Projects Assist with planning and coordination of the Annual Donor Memorial, Alzheimer's Walk, healthcare fairs, community events, employee recognition, birthdays, and other organizational activities. Coordinate invitations, registrations, vendors, materials, supplies, printing, signage, and event logistics. Assist with special projects and organizational initiatives as assigned. Working Knowledge and Skills Preferred Microsoft 365 Strong working knowledge of Microsoft 365, including: Outlook — email, calendars, scheduling, and meeting coordination. Word — professional documents, correspondence, SOPs, formatting, and editing. Excel — spreadsheets, tracking systems, sorting/filtering, basic formulas, and data organization. PowerPoint — development and editing of professional presentations. Teams — meetings, communication, file sharing, and collaboration. OneDrive/SharePoint — file organization, sharing, and document management. Candidate must be comfortable learning and using additional electronic databases and organizational systems. Marketing & Social Media Demonstrated experience or working knowledge of: Facebook, Instagram, and LinkedIn. Canva or comparable graphic-design software. Social media scheduling and content planning. Creating professional social media posts and graphics. Basic marketing and branding principles. Writing and editing public-facing content. Creating flyers, brochures, presentations, and educational materials. Basic social media analytics and engagement tracking. Experience with digital marketing, photography, video creation/editing, or CRM systems is a plus. Communication and Language Compassionate & Sensitive Communication Ability to communicate calmly, compassionately, and professionally with individuals and families regarding end-of-life matters, death, and whole-body donation. Candidates must be able to navigate sensitive and emotionally difficult conversations with empathy, discretion, and appropriate professional boundaries. Language Bilingual capabilities are preferred to support effective communication with multilingual individuals, families, and community partners. Preferred Qualifications Associate or bachelor's degree in Human Services, Social Services, Healthcare Administration, Business Administration, or a related field preferred. Relevant experience in healthcare, hospice, Family Services, community outreach, administrative/project support, or a related setting may be considered in lieu of formal education; however, training will be provided for organization-specific processes and systems. Experience communicating with healthcare professionals is highly desirable. Experience with end-of-life care, hospice, bereavement, healthcare, or other sensitive family-facing environments is highly desirable. Working knowledge of commonly used Microsoft 365 applications preferred. Marketing and social media experience, including Canva or similar design software. Strong administrative, organizational, and project coordination skills. Valid driver's license and ability to travel locally as required. Schedule & Availability This position requires flexibility beyond a traditional Monday-through-Friday schedule. Schedule adjustments may occasionally be necessary for hospice presentations, community events, donor memorial activities, organizational events, and Family Service's needs. Participation in shared, assigned on-call coverage, including days, evenings, nights, weekends, and holidays, is an essential function of the position. Overall Standard of Performance The Community Relations Coordinator is expected to serve as a dependable operational partner to the Director of Community Relations—someone who can be trusted to take ownership of responsibilities, exercise sound judgment, communicate professionally and compassionately, and consistently follow work through to completion.
