Full-Time Position Summary The Community Engagement Coordinator is responsible for fostering community engagement and a sense of belonging in New Haven. Under the direction of the Community Development Director, this position plans, coordinates, and evaluates City-sponsored events and public engagement initiatives while building and maintaining relationships with volunteers, community organizations, businesses, donors, and other stakeholders. The Community Engagement Coordinator also provides logistical support for public meetings, press conferences, ribbon cuttings, and community forums and serves as a key contributor to the City's communication efforts by maintaining digital engagement platforms, including the City's website and Activate New Haven. Essential Functions Volunteer Engagement Develop, implement, and evaluate a comprehensive volunteer recruitment, engagement, and retention strategy. Promote volunteerism throughout the community by creating meaningful volunteer opportunities. Collaborate with the Community Health Coordinator to promote the benefits of volunteer service. Develop and maintain relationships with volunteer organizations, civic groups, schools, churches, and nonprofit organizations. Create and maintain volunteer position descriptions. Recruit, train, schedule, supervise, and recognize volunteers. Coordinate volunteer staffing for City-sponsored events and community projects. Maintain records of volunteer participation and engagement. Community Partnerships Identify community service needs by collaborating with nonprofit organizations, faith-based organizations, schools, and community partners. Coordinate volunteers to address identified community needs when appropriate. Develop and maintain partnerships that strengthen community engagement initiatives. Serve at the City's point of contact with other community organizations with the purpose of coordinating community events Event Planning and Management Plan, organize, coordinate, and evaluate City events from concept through completion. Develop event timelines, logistics, vendor coordination, permitting, and operational plans. Coordinate food vendors, entertainment, exhibitors, and other event participants. Provide on-site event management including setup, registration, guest assistance, troubleshooting, and event breakdown. Maintain accurate event records, attendance data, evaluations, and post-event reports. Utilize City events to promote community assets, including parks, downtown, and other public amenities. Budgeting and Fundraising Collaborate with the Community Development Director and Clerk-Treasurer to develop and administer the annual events budget. Monitor event expenditures and maintain accurate financial records. Develop fundraising strategies to support community events and initiatives. Cultivate and maintain relationships with sponsors, donors, and local businesses. Coordinate sponsorship solicitation and donor stewardship. Public Engagement Coordinate Community Connect forums, public meetings, ribbon cuttings, open houses, and other public engagement activities. Collaborate with City departments and external partners to ensure successful community events. Prepare event agendas, checklists, and logistical plans. Coordinate invitations, media support, equipment, and event scheduling. Communications and Digital Engagement Collaborate with the Public Information Officer (PIO) and Community Development staff to maintain the City's website and Activate New Haven. Create, update, and publish timely digital content promoting City news, events, and initiatives. Maintain working knowledge of CivicPlus, Civify, and related communication platforms. Assist with development of promotional and informational materials. Committee Support Coordinate the City's Events Committee. Schedule meetings and prepare agendas. Record meeting minutes. Present financial updates and event status reports. Assist the committee in evaluating event outcomes and recommending improvements. Collaboration and Customer Service Build and maintain positive working relationships with City staff, elected officials, businesses, community organizations, volunteers, and the public. Provide outstanding customer service while representing the City professionally. Maintain confidentiality of sensitive information. Stay informed regarding community trends, priorities, and engagement opportunities. Other Duties Attend evening and weekend meetings and events as required. Provide logistical and technical support for additional City meetings and special events. Serve as Community Development liaison to local businesses. Perform other duties as assigned. Required Knowledge, Skills, and Abilities Knowledge of event planning principles and best practices. Knowledge of volunteer management and community engagement strategies. Excellent organizational and project management skills. Strong written and verbal communication skills. Ability to coordinate multiple projects simultaneously while meeting deadlines. Ability to establish and maintain effective working relationships with diverse groups. Strong customer service and interpersonal skills. Ability to work independently while contributing effectively as part of a team. Strong attention to detail and accuracy. Ability to exercise sound judgment and maintain confidentiality. Proficiency with Microsoft Office Suite. Working knowledge of Adobe Creative Cloud or comparable design software. Ability to learn and effectively utilize CivicPlus, Civify, and other municipal communication platforms. Minimum Qualifications Bachelor's degree in Event Planning, Hospitality Management, Communications, Public Relations, Marketing, or a closely related field. OR Three (3) or more years of progressively responsible experience in event planning, volunteer management, community engagement, public relations, or a related field.
Additionally:
Experience recruiting, coordinating, and managing volunteers. Experience planning and coordinating public events. Valid Indiana Driver's License. Preferred Qualifications Experience working in local government. Experience with municipal communications platforms. Experience in fundraising and donor development. Graphic design and video production experience. Experience managing event budgets. Physical Requirements The physical demands described here are representative of those necessary to successfully perform the essential functions of this position. Frequently sit, stand, and walk for extended periods. Frequently lift and carry materials related to events. Occasionally climb stairs, traverse uneven terrain, and work outdoors. Ability to transport event supplies and equipment as needed. Ability to work evenings, weekends, and holidays when required. Working Conditions Work is performed in both office and outdoor environments. The position requires frequent interaction with the public and may involve exposure to varying weather conditions during outdoor events. Conditions of Employment Successful completion of a background investigation. Possession and maintenance of a valid Indiana Driver's License. Pay:
$21.97 - $25.97 per hour Expected hours: 40.0 per week
