  • $38 an hour 4 hours ago Benefits Flexible schedule Qualifications Dashboard development Confidential information handling Zoom Dashboard creation support Calendar management Customer engagement Document review Productivity software Video conferences (communication methods) Editing Outreach events (outreach initiatives) Full Job Description The Percy Grainger Society (PGS) seeks an organized, warm, and technologically capable Membership & Donor Engagement Coordinator to help strengthen relationships with members, donors, volunteers, program participants, Journal readers, visitors, and friends of the Percy Grainger Home and Studio in White Plains.
PGS is a New York charitable organization dedicated to advancing interest in the music and legacy of Percy Grainger; preserving the Percy Grainger Home and Studio; and making the Society's collections, programs, history, and scholarship accessible to diverse audiences. This is a one-year, part-time position designed to help the Society improve its membership, donor, and communication systems, listen more effectively to constituents, and create practical procedures that can be sustained by staff, Board members, and volunteers after the appointment ends. Position summary The Membership & Engagement Coordinator will improve the systems through which PGS welcomes, informs, listens to, and engages its constituents. The Coordinator will help maintain accurate records in WildApricot; prepare and improve recurring communications; support virtual and in-person programs; collect and summarize feedback; and document useful processes, templates, and reporting practices. The position is hybrid. Most work may be completed remotely, with planned on-site work at the Percy Grainger Home and Studio in White Plains and occasional attendance at programs, open houses, or meetings. Primary responsibilities Review, improve, and help carry out recurring membership and constituent communications, including the monthly Of Note newsletter, welcome messages, renewal acknowledgments, event notices, thank-you messages, and re-engagement outreach. Maintain and improve membership, subscriber, donor, volunteer, and event-contact records in WildApricot, with careful attention to data accuracy, communication preferences, audience segments, and privacy. Help create practical constituent segments—for example, new members, local supporters, virtual-program participants, donors, volunteers, Journal readers, and inactive members—to support relevant and respectful communication. Coordinate a simple feedback and listening program, including post-event surveys, newsletter questions, Journal-reader feedback, and a "Help Us Serve You Better" constituent questionnaire. Support virtual meetings, open houses, and other programs by preparing communications, monitoring registrations, sending reminders and follow-up messages, sharing recordings or recaps, and tracking participation. Prepare a concise monthly engagement dashboard for the Board, reporting on newsletter performance, program registration and attendance, feedback, membership activity, volunteer interest, and other agreed-upon measures. Help establish clear pathways for people interested in joining, renewing, volunteering, donating, contributing to the Journal, attending programs, or learning more about the Percy Grainger Home and Studio. Use approved digital and AI tools, under human supervision, to draft communications, adapt approved messages for appropriate audiences, summarize anonymized feedback, and improve efficiency. Prepare and maintain written templates, calendars, checklists, data procedures, and training materials. Work collaboratively with the designated Board supervisor, Board members, committee volunteers, and program leaders. First-year deliverables By the end of the appointment, the Coordinator will be expected to have helped PGS establish:
  • -Cleaned, reviewed, and more useful WildApricot contact and membership records.
  • -A manageable set of constituent segments and documented procedures for maintaining them.
  • -Updated core email templates and communication workflows.
  • -A regular system for event, newsletter, and Journal feedback.
  • -A monthly Board engagement dashboard with baseline measures and trend reporting.
  • -A documented calendar and procedures for recurring membership, event, and follow-up communications.
  • -A practical Contact Engagement Playbook containing templates, workflows, data practices, reporting formats, and recommendations for continued work. Required qualifications
  • -Excellent written communication, proofreading, and interpersonal skills.
  • -Experience with member, customer, donor, volunteer, participant, or other constituent communications.
  • -Comfort learning and using databases, email platforms, spreadsheets, Zoom, online forms, and web-based registration tools.
  • -Strong organizational ability, sound judgment, and consistent follow-through.
  • -Ability to handle personal contact and donor information discreetly and responsibly.
  • -Ability to work independently in a part-time, hybrid role while communicating regularly with supervisors and volunteers.
  • -Availability for occasional on-site work in White Plains and occasional evening or weekend programs.
Preferred qualifications Experience in a nonprofit, museum, historic site, arts organization, membership association, educational institution, library, archive, or cultural organization. Experience with WildApricot, or with comparable CRM, membership, donor, or event-management platforms. Familiarity with Google Workspace, Google Forms, Excel or Google Sheets, Zoom, Eventbrite, SimplyBook.me, email analytics, or basic website content management. Interest in music, history, historic preservation, museums, archives, or cultural heritage. Experience preparing simple reports or dashboards from communication, event, or membership data.
