Director of Admissions Position Summary Xavier University is seeking an energetic, organized, and results-driven Admissions Counselor to join its New York Admissions team. The Admissions Counselor is responsible for recruiting prospective students, developing relationships with applicants and families, and guiding students through the admissions process from initial inquiry through enrollment. This is a student-facing and recruitment-focused position. The successful candidate must be comfortable communicating extensively by telephone, email, text, video conference, and in person and must consistently follow up with prospective students to move them through the admissions and enrollment process. Key Responsibilities Respond promptly to new student inquiries and establish ongoing communication with prospective students. Conduct high-volume outbound telephone, email, text, and other follow-up with prospective students. Counsel prospective students regarding Xavier's academic programs, admissions requirements, application process, tuition, financing options, campus experience, and enrollment requirements. Develop relationships with prospective students and families and serve as a primary point of contact throughout the admissions process. Encourage qualified prospective students to complete applications and required admissions documentation. Follow applicants throughout the admissions funnel from inquiry to application, acceptance, deposit, and matriculation . Maintain consistent follow-up with accepted students to improve enrollment and reduce students who fail to matriculate. Maintain accurate and detailed records of prospective student communications and activity in the University's CRM and admissions systems. Manage assigned leads, applicants, and recruitment territories and meet established activity and enrollment expectations. Review applicant files for completeness and coordinate with appropriate University personnel regarding missing documents or admissions requirements. Participate in information sessions, open houses, webinars, accepted-student events, orientation activities, and other University events. Represent Xavier professionally at college fairs, recruitment events, conferences, school visits, and other outreach activities. Develop and maintain relationships with colleges, universities, pre-health organizations, advisors, counselors, student organizations, and other potential recruitment partners. Conduct presentations to prospective students, families, advisors, and other groups. Work closely with Admissions, Marketing, Financial Services, Student Services, and academic departments. Provide management with regular updates regarding lead activity, applications, enrollment progress, recruitment activities, and obstacles affecting prospective students. Maintain appropriate confidentiality of applicant and student information. Assist other members of the Admissions Department during high-volume periods and major recruitment initiatives. Perform additional duties and special projects as assigned. Performance Expectations The Admissions Counselor is expected to actively contribute to the University's enrollment objectives. Performance may be evaluated based on responsiveness to prospective students, quality and consistency of follow-up, lead engagement, application generation, applicant conversion, accepted-student follow-up, matriculation, CRM accuracy, and overall contribution to Admissions Department goals. The position requires initiative and consistent follow-through. Admissions Counselors are expected to actively manage their assigned prospective students rather than relying solely on incoming inquiries. Qualifications Bachelor's degree preferred. Prior experience in admissions, student recruitment, sales, customer service, higher education, healthcare education, or a related field preferred. Excellent verbal and written communication skills. Strong telephone and interpersonal skills. Comfortable speaking with prospective students and families individually and in group settings. Strong organizational and time-management skills. Ability to manage a high volume of leads, applications, communications, and follow-up activities. Comfortable working with CRM systems, Microsoft Office, email, spreadsheets, and other technology. Ability to maintain accurate records and handle confidential information professionally. Self-motivated with the ability to work independently and as part of a team. Professional appearance and demeanor when representing the University. Valid passport and ability and willingness to travel internationally required. Schedule & Travel This is a full-time position based in the University's New York office. The position may require evenings and weekends based on recruitment schedules, student needs, University events, and travel. Domestic and international travel is an important component of this position. The Admissions Counselor must be willing and able to travel throughout the United States and internationally for recruitment activities, including college and university visits, recruitment fairs, conferences, school visits, partner meetings, presentations, and other University-sponsored activities. International travel may involve trips of multiple days, including weekends, and may be scheduled based on University recruitment priorities. The Admissions Counselor must maintain a valid passport and be able to satisfy applicable entry and travel requirements for assigned destinations.
