Job Summary The front desk manager oversees front desk operations and is responsible for the center's administrative systems and overall office management. S/he reports to the executive director and is responsible for making sure the day-to-day functions of the organization are successful and contribute to accomplishing strategic goals. This is a part-time position averaging 20 hours per week, Monday through Thursday, 12:30 pm to 5:30 pm. We are looking for the right person with exceptional communication and organizational skills. For working families, we realize accepting a part-time job while paying for childcare may be a roadblock. So, if the right candidate has school-age children, there may be a possibility for their children to take the school bus to Wintergreen with our after-school arts students. Wintergreen follows the public-school calendar so it may also be possible for the right candidate to have school vacation, in-service, early-release, and snow days off with their children as well. This is a case-by-case decision based on candidate and family interviews.
RELATIONSHIP TO OTHER STAFF
The front desk manager works collaboratively with the executive director, program director, and other staff to facilitate communication throughout the organization and develop procedures to make the workplace efficient. S/he is often the first point of contact for internal and external stakeholders and integral to customer service.
RESPONSIBILITIES
- Track expenditures, breakdown credit card statements, process customer payments, maintain ledgers, make bank deposits; communicate with executive director and treasurer;
- Ensure front-desk operations are smooth, secure, and effective;
- Answer telephone calls and emails from customers and stakeholders directing them to relevant staff;
- Maintain database: tracking donors, customers, volunteers, students, and other stakeholders;
- Support the executive director with communications and marketing outreach; assist with updating website, social media, newsletters, calendars, marketing materials, and other means of communication;
- Join grant-writing team, helping to develop, organize, and submit grant applications;
- Support the program manager with online registration for all programs and events;
- Keep programming records and maintain enrollment and other spreadsheets for all programs;
- Greet and engage visitors, students, families, and patrons of the organization;
- Other duties as identified to ensure success of the organization.

Pay:
$20.00 - $25.00 per hour Expected hours: 20.0 per week
