Pastor 40 hour week, day shift, some weekends, evenings and overtime may be necessary General Description As part of a large collaborative parish staff, the pastor's assistant is responsible for assisting the pastor in daily activities by performing a variety of clerical, secretarial, and receptionist support for the pastor (see below for a listing of specific duties). In addition, leads and coordinates (in conjunction with parish staff and volunteers) on planning and executing events and meetings that the pastor initiates as well as staff-led events. This position includes sharing with parish staff and volunteers the receptionist duties of the main parish office to assist people who walk in for appointments and a variety of requests. In all communication and encounters, the pastor's assistant represents the pastor and the parish, and responds to all requests with compassion and maintains strict confidentiality. Qualifications/Skills Associate's degree required. Archdiocesan required Protecting God's Children certification and background check. Minimum of 3 years of verifiable employment history, executive assistant and/or pastoral experience preferred Advanced Microsoft Office and smartphone proficiency Ability to learn use of parish database software Advanced written and verbal communication in spoken and written English Welcoming, compassionate, respectful and discreet communication style Ability to patiently and flexibly adapt the pastor's schedule to meet the pastoral needs of the community Strong problem-solving and proactive critical thinking Ability to perform work independently in a timely and organized manner and manage multiple priorities Attention to detail Specific Duties/Responsibilities The following specific responsibilities are representative of the duties required in this position. They may be unilaterally but reasonably changed based on the working environment and parish needs. Availability for occasional evenings, weekends, holy days, and emergency calls as needed. Attend to pastor's and own correspondence via phone, email; respond to requests from staff, parishioners, and walk-ins Manage pastor's personal and ministry calendar using MS Outlook Calendar Digitally manage pastor's contacts Create virtual meeting links for the pastor Assist the pastor with booking travel Create monthly priest liturgy & sacrament schedule in coordination with Salesians of Don Bosco Troubleshoot pastor's computer and smartphone Create digital presentations for homilies and lectures Edit, type and distribute correspondence and projects as requested by pastor Ensure pastor's physical confidential files are current for use by pastor Respond to regularly occurring requests for information, mass cards, and certificates of eligibility (checking parishioner involvement for pastor's review, and general letters of recommendation). Maintain inventory of parish logo stationery Keep staff members informed of necessary information pertaining to staff, parishioners, and/or parish events, as requested by pastor, staff members or at own discretion. Alert staff of upcoming staff meetings. Prepare & distribute agendas and take and distribute minutes.- Responsible for pastor-hosted events and staff events, e.g. collect headcount, arrange catering and shop for food/beverages rectory, set up and clean up.
- Supply the rectory guest bathroom prior to rectory events (alumni events, Christmas party, etc.)
- Set up welcome baskets for rectory guests if requested by the pastor
- Delegate responsibilities to and coordinate with volunteers as needed Keep current Pastoral Council & Finance Council member list Keep a file of agendas and minutes from the Pastoral Council and Finance Council and supply when requested by the Archdiocese during a financial audit Procure signatures from pastor and parish trustees for the Parish Bylaws paperwork and mail to Archdiocese on an annual basis.
- Keep own Virtus account current with PGC trainings as assigned.
- Assist staff with project management and process improvement as needed
- Abide by and encourage parish safety procedures
- Attend periodic health and safety trainings and drills Schedule events/meetings in the parish facilities software when the usual assigned staff person is not available.
