Under general supervision of the AVP of External Relations, the External Relations Support Coordinator will provide a full range of administrative and clerical support to the AVP of External Relations and day-to-day clerical support to the Office of External Relations and its units. Operates, troubleshoots, and maintains basic office equipment; inventory and supply ordering and tracking. Reconcile pro-card transactions, process requisitions and purchase orders, including ICTs, and ensures accounts payable is processed successfully. Processes travel requests and claims using Concur. Assists with programs, initiatives, and campus visits. Interacts with a variety of campus stakeholders including, students, faculty, staff, and external partners. Incumbent will be required to work occasional evenings and weekends for events such as commencement, galas, etc.Key Responsibilities:
Performs administrative/clerical support to the AVP of External Relations, including screening and prioritizing visitors, external guests, and incoming phone calls. Coordinates the AVP's calendar, including scheduling meetings and events. Coordinates travel arrangements and logistics on behalf of the AVP utilizing Concur. Coordinates collection and submission of all necessary financial and procurement paperwork on behalf of the AVP, including pcard, travel card, purchase orders, accounts payable, and reimbursements, and stays abreast on evolving campus policies and procedures as it pertains to administrative processes. Logs expenses and may pull financial reports from CFS. Submits work orders, ICTs, and IT helpdesk tickets.Minimum Qualifications:
High school program and at three (3) years' experience in an office environment.Knowledge, Skills, and Abilities:
Experience to be fully functional in all technical aspects of work assignments. Thorough, detailed knowledge of applicable university infrastructure, policies, and procedures. Ability to draft and compose correspondence and standard reports. Ability to handle effectively a broader range of interpersonal contacts, including those at a higher level and those sensitive in nature.Preferred Qualifications:
