Job Description
KEY RESPONSIBILITIES
- Answer all incoming phone calls within 3 rings and route calls to appropriate staff members, being courteous and friendly. Understand the business cycle and staff needs in relationship to routing calls, Teams messaging, and voicemail when appropriate.
- Greet all incoming guests, creating a lasting impression on everyone you encounter.
- Maintain the PIPAC Office Calendar and being mindful of events and appointments that affect the availability of staff members.
- Process daily outgoing mail and agent supply orders.
- Maintain office/kitchen supplies and order as needed.
- Perform administrative agent relations tasks including but not limited to: processing co-op submissions, agent award reporting, agency card correspondence, CE materials preparation, and data entry for various departments.
- Maintain neat and organized office space including the front desk, mail room, conference room, and GAP office.
- Must be capable of regular and predictable attendance to perform job tasks.
- Other clerical projects and duties assigned.

- High school diploma and 1 year of customer service or receptionist related experience. Additional certifications in office administration or related fields are a plus.
- Excellent verbal and written communication skills.
- Professional and friendly demeanor with strong customer service skills.
- Ability to operate telephone systems, office equipment and handle basic troubleshooting.
- Proficient in using computer systems and office software (MS Office, Outlook, Teams and calendar features).
- Ability to work independently and flexibility to adapt to varying levels of incoming phone traffic based on business cycle.
