POSITION SUMMARY
The Social Service Clerk - Administrative Assistant provides direct assistance to individuals and families seeking emergency services and provides administrative support to the Corps office. Primary responsibilities include processing rental and utility assistance, motel vouchers, bus passes, client records, invoices, and other Family Services and administrative duties.
QUALIFICATIONS
HS Diploma or equivalent required Minimum 2 years office experience preferred Ability to remain calm in a fast paced environment. Good knowledge of Microsoft Office programs Must be able to manage multiple tasks and shifting priorities Bi-lingual Spanish preferred Ability to work with a diverse population with poise and ease Demonstrate a positive attitude, with ability to work with people of diverse backgrounds and circumstances Able to maintain a non-judgement attitude, professional approach and boundaries with clients Able to handle crisis/emergency services for the homeless and to utilize conflict resolution skills Ability to assess at risk participants and situations Excellent verbal and written communication skills Strong organizational skills required Strong attention to detail and neatness required Must be able to pass a criminal background check
RESPONSIBILITIES
Process intakes for individuals and families requesting assistance through the Family Services Office. Process rental assistance, utility assistance, motel vouchers, bus passes, and other approved emergency assistance according to policy. Issue vouchers according to established policies and available funding. Schedule appointments for clients requesting assistance and follow up on required documentation. Ensure clients complete all required paperwork accurately and meet program qualifications. Enter all services into WellSky, including rental and utility assistance, motel vouchers, transportation assistance, food distributions, showers, clothing, and other services. Maintain accurate, organized, and confidential client files. Communicate with landlords, utility companies, motels, and other vendors as needed. Provide clients with referrals to community resources when appropriate. Answer incoming phone calls, return messages, and provide information regarding available services. Process invoices through Finance Web, ensuring invoices have the required documentation and approvals. Maintain organized records of invoices, receipts, vouchers, and other financial documentation. Assist Corps Officers with administrative paperwork, reports, filing, scanning, recordkeeping, and other office duties. Assist Corps Officers with outreach events, seasonal programs, special distributions, and the Christmas Angel Tree program. Assist at the Food Warehouse as needed and as related to Family Services. Oversee and assist with the Mobile Shower Program as needed. Assist with setup and breakdown of tables, chairs, and supplies for special events and Corps programs. Assist with basic upkeep and organization of Family Services and common work areas as needed. Assist other Corps programs and departments when needed. Perform other duties as assigned related to the position.

Specific vision abilities required by this job include close vision, distance vision, color vision, depth perception and ability to adjust focus. Must have the ability to operate telephone, a desktop or laptop computer, as well as the ability to access and produce information from a computer, and to understand written information. High School or Equivalent or better.
