Legal Support Coordinator Essex Association Management - 2.5 Addison, TX Job Details Full-time $30 - $35 an hour 3 hours ago Benefits Health insurance Dental insurance Paid time off Qualifications Customer communication High school diploma or GED Legal administrative experience Attention to detail Legal case management Time management Full Job Description Overview The Legal Support Coordinator provides administrative and operational support to the legal and community association management teams. This position coordinates legal matters related to homeowner's associations (HOAs), including delinquency collections, covenant and rule enforcement, violation matters, attorney correspondence, litigation support, and document management. The ideal candidate is highly organized, detail-oriented, professional, and comfortable handling confidential information while communicating with homeowners, community managers, attorneys, vendors, and other internal departments. Responsibilities
  • Coordinate and track legal matters for assigned HOA communities.
  • Assist with the preparation, processing, and distribution of legal notices, correspondence, demand letters, violation notices, and other documents.
  • Maintain accurate records of legal cases, homeowner accounts, correspondence, deadlines, and required follow-up actions.
  • Serve as a liaison between community managers, homeowners, attorneys, collection agencies, and other parties involved in legal matters.
  • Monitor legal deadlines, court dates, response deadlines, and other time-sensitive requirements.
  • Prepare case files and supporting documentation for attorneys and management.
  • Assist with the collection and organization of documents, photographs, account histories, governing documents, meeting records, and other evidence.
  • Review homeowner accounts and association records for completeness and accuracy before legal action is initiated.
  • Coordinate the referral of delinquent accounts and other matters to outside counsel or collection agencies in accordance with company procedures.
  • Track the status of accounts and legal matters and provide updates to management and community managers.
  • Process and document attorney invoices, legal expenses, payments, and related records as assigned.
  • Assist with litigation-related administrative tasks, including discovery document collection, scheduling, and communication with counsel.
  • Maintain confidentiality of homeowner, association, financial, and legal information
  • Ensure legal files and electronic records are organized, complete, and maintained in accordance with company policies.
  • Assist with responses to homeowner inquiries regarding the status of legal matters while appropriately avoiding the unauthorized practice of law.
  • Follow established procedures, association governing documents, applicable laws, and company policies.
  • Perform other administrative and legal support duties as assigned. Education and Experience
  • High school diploma or equivalent required; associate or bachelor's degree preferred.
  • 2+ years of experience in legal administration, HOA/community association management, property management, collections, or a related field preferred.
  • Experience working with attorneys, law firms, collections, or homeowner's associations.
  • Strong organizational and time-management skills.
  • Excellent written and verbal communication skills.
  • Strong attention to detail and ability to manage multiple deadlines simultaneously.
  • Proficiency with Microsoft Office, including Word, Outlook, and Excel.
  • Ability to handle confidential and sensitive information professionally.
  • Strong problem-solving and follow-up skills.
  • Ability to work independently while collaborating effectively with managers, attorneys, and other departments.
Pay:
$30.00 - $35.00 per hour Expected hours: 40.0 per week
