This position plays a key role in ensuring efficient office operations, maintaining excellent customer service, supporting service delivery, and promoting a positive experience for both clients and employees. The ideal candidate is a strong communicator who enjoys working with people, is highly organized, and can effectively balance administrative responsibilities with staff supervision and quality assurance. Key Responsibilities Manage daily office operations and administrative functions. Welcome clients, visitors, and callers with professionalism and excellent customer service. Supervise office personnel and direct support staff, providing guidance, coaching, and ongoing support. Monitor staff performance, attendance, and compliance with company policies. Coordinate staff schedules and assist with shift coverage when needed. Conduct intake assessments and assist with onboarding new clients. Follow up regularly with clients and families to monitor satisfaction, address concerns, and ensure quality service delivery. Maintain accurate client and employee records using electronic systems. Prepare reports, correspondence, and other business documents using Microsoft Office and Google Workspace. Coordinate meetings, appointments, and calendars. Assist with hiring, onboarding, and orientation of new employees. Support management with quality assurance activities and continuous improvement initiatives. Maintain confidentiality and ensure compliance with applicable Regional Center and company requirements. Perform other administrative and operational duties as assigned. Qualifications Bachelor's Degree in Human Services, Social Work, Psychology, or a related field required; or an Associate Degree in Human Services or a related field with a minimum of two years of relevant supervisory or administrative experience. Previous office management or administrative leadership experience preferred. Experience supervising staff is highly desirable. Experience working with individuals with developmental disabilities or within California Regional Center services is preferred. Board Certified Behavior Analyst (BCBA) certification is an added advantage but is not required. Proficiency in Microsoft Word, Excel, Outlook, and Google Workspace. Excellent organizational, multitasking, and time-management skills. Strong verbal and written communication skills. Ability to work independently while collaborating effectively with a multidisciplinary team. Professional judgment, attention to detail, and excellent problem-solving skills.
