About Old Town Artisan Studios Old Town Artisan Studios is a nonprofit organization dedicated to providing positive art experiences for all people—regardless of age, ability, or financial condition. We offer classes, workshops, exhibitions, and community outreach programs that enrich lives through creative expression both on our campus and throughout the Coachella Valley. Position Summary Old Town Artisan Studios is seeking a creative, organized, and highly motivated Event Coordinator to help plan and execute a growing calendar of community events, seasonal celebrations, and special programs. This is an excellent opportunity for someone interested in building a career in event planning, event production, community engagement, or arts and cultural programming. The ideal candidate is eager to gain hands-on experience and develop a professional portfolio while taking meaningful ownership of events from concept through completion. The Events Coordinator will work closely with the Director of Community Engagement and other OTAS staff to develop engaging experiences for the community. This position will have opportunities to contribute ideas, solve problems, coordinate volunteers, and work with community partners. Key Responsibilities Event Coordination Assist with the planning, preparation, execution, and breakdown of OTAS events and special programs. Help develop event concepts, themes, activities, schedules, and guest experiences. Create and maintain event timelines, checklists, task lists, supply lists, and other planning materials. Help coordinate event logistics including setup, dećor, supplies, signage, activity stations, entertainment, vendors, and other event needs. Assist with purchasing, inventory, preparation of materials, and organization of event supplies. Contribute new ideas for future events and help identify opportunities to improve existing programming. Volunteer Coordination Recruit, communicate with, schedule, and coordinate event volunteers. Maintain volunteer records, availability, and contact lists. Develop volunteer assignments and ensure volunteers understand their responsibilities. Identify ways to expand OTAS's volunteer base and improve volunteer engagement. Community Engagement & Collaboration Assist in developing relationships with community organizations, businesses, schools, nonprofits, and other potential event partners. Help identify opportunities for collaboration, support, and community participation. Help promote events through community outreach and word-of-mouth engagement. Assist the Director of Marketing with distribution of flyers, calendar updates, and social media posts. Support the development of events that reflect the interests and needs of the community. Complete any other tasks as assigned.
Qualifications Required:
Strong organizational and time management skills. Excellent verbal and written communication skills. Ability to take initiative and work independently. Ability to manage multiple tasks and deadlines simultaneously. Comfortable working with volunteers, community members, partners, and staff. Reliable, dependable, and willing to take ownership of assigned responsibilities. Ability to work evenings and weekends as required for events. Positive, professional, and solution-oriented attitude.
Preferred:
Coursework, education, or experience in event planning, hospitality, marketing, communications, nonprofit management, arts administration, or a related field. Previous experience coordinating events, programs, volunteers, school activities, community programs, or similar projects. Experience with Google Workspace, Slack, social media, or other organizational tools. Interest in pursuing a professional career in event planning, event production, hospitality, community engagement, or arts and cultural programming.

Schedule:
Part-Time - approximately 20-25 hours per week, with some flexibility based on event calendar. This position will include a combination of weekday planning/administrative hours and evening and weekend event hours. Some weeks may require additional hours surrounding major events.
Pay:
$21.00 - $23.00 per hour
