Flexible part-time schedule, with some weekends and holidays required. Additional flexibility may be required for special events, holidays, orientations, volunteer appreciation activities, training sessions, and others as directed by the VP of Education. Position Summary The Volunteer Coordinator is responsible for recruiting, training, scheduling, supporting, and recognizing a diverse team of volunteers who help advance the museum's mission and programs. This role serves as the primary point of contact for volunteers, ensuring they have a positive, meaningful, and productive experience while providing excellent service to museum visitors, events, and educational programs. Key Responsibilities Recruitment & Onboarding Recruit and engage volunteers ranging from ages 13 to 101+ from diverse backgrounds and skill levels. Promote volunteer opportunities through community outreach, schools, colleges, social media, and local organizations. Conduct volunteer interviews and evaluate candidates for appropriate placements. Coordinate required background screenings. Match volunteers with roles that align with their interests, skills, availability, and organizational needs. Facilitate onboarding and ensure all required paperwork and documentation are completed. Training & Scheduling Develop and maintain volunteer orientation materials, handbooks, and training resources. Lead regular volunteer orientation and training sessions. Create and manage volunteer schedules for daily operations, educational programs, and special events. Maintain volunteer coverage and coordinate substitutions when needed. Communicate schedule updates, expectations, and organizational information clearly and promptly. Data & Administration Maintain accurate and secure volunteer records, including contact information, availability, certifications, skills, and service hours. Track volunteer participation and generate reports as requested. Ensure compliance with organizational policies and confidentiality standards. Maintain digital filing systems and volunteer management databases. Utilize the museum's volunteer management software to track volunteer applications, schedules, hours, communications, and records. Assist with volunteer-related communications and administrative tasks. Retention & Recognition Foster a welcoming, inclusive, and supportive volunteer environment. Conduct regular check-ins with volunteers and address concerns, questions, or conflicts. Gather feedback and identify opportunities to improve the volunteer experience. Coordinate volunteer recognition programs, appreciation events, and milestone awards. Support volunteer engagement and retention efforts to build a strong and reliable volunteer community. Required Skills & QualificationsPreferred Qualifications Previous experience coordinating volunteers, staff, interns, or community programs. Experience in museums, educational organizations, nonprofits, camps, or visitor-serving institutions. Experience planning events, orientations, or training programs. Familiarity with volunteer management software platforms is a plus. Physical Requirements Ability to move throughout museum facilities and event spaces for extended periods. Ability to lift and carry materials weighing up to 25 pounds. Ability to set up and break down materials for volunteer activities, training sessions, and events. Ability to work both indoors and outdoors as needed. What Success Looks Like Volunteers are successfully recruited, trained, scheduled, and retained. Volunteer records and hours are accurate and up to date. Events and programs are adequately staffed with prepared volunteers. Volunteers feel welcomed, valued, and connected to the museum's mission. Strong relationships are maintained with volunteers, staff, and community partners.
