Job Summary:
The Volunteer Coordinator is responsible for the overall leadership and supervision of the volunteer program. This includes overseeing volunteer recruitment, screening and onboarding processes, orientation and ongoing training, compliance, record maintenance and program evaluation to ensure quality and regulatory standards are met. This role collaborates closedly with the interdisciplinary team to align volunteer services with patient and family needs. The Volunteer Coordinator ensures that volunteers are effectively integrated into care delivery enhancing the quality of hospice services and supporting the overall mission, vision and values of the organization.
Supervisory Responsibilities:
  • All Minnesota Hospice volunteers
Duties/Responsibilities:
  • Plan, organize, develop and direct the overall operation of Minnesota Hospice volunteer positions and opportunities.
  • Develop strong working relationships with community-based organizations. Obtain a working knowledge of their programs, offering consultative and resource support on volunteer management issues as appropriate and needed. Including attending community events and representing Minnesota Hospice in the community.
  • Develop and implement a model of community support for those who are nagivating their own hospice journey without barriers of time and volunteering commitment/regulations.
  • Collaborate with metro area hospice volunteer leaders to enhance and promote best practices in end of life support.
  • Provide a positive, mission-focused experience for our volunteers, capitalizing on the use of their skills and talents, showing appreciation and hosting an annual appreciation event.
  • Screen and match volunteers to organizational needs and opportunities.
  • Develop and implement real-time virtual volunteer training, combined with in-person onboarding experience.
  • Oversee the training of volunteers on initial and annual basis per CMS guidelines.
  • Develop and maintain volunteer program policies, procedures, documentation process, recruitment, orientation and onboarding materials.
  • Manage or complete volunteer supervisory visit upon initial patient visit and annually per CMS guidelines.
  • Maintain accurate volunteer personnel files per MDH guidelines.
  • Manage and complete volunteer scheduling process.
  • Manage or complete individualized care plans for each patient. Manage or update patient care plans and or care plan problems every 14 days.
  • Attend all IDT meetings and/or designate volunteer program representative to attend.
  • Attend required educational in-service and staff meetings.
  • Monitor and assist all volunteer documented visits, phone calls and patient interaction in EMR within 24 hours.
  • Develop program policies and procedures in accordance with Minnesota Hospice, Medicare Hospice Benefit, and MN Department of Health guidelines.
  • Manage or complete monthly reports in an accurate timely manner for QAPI data.
  • Assures that the total hours provided by volunteers meets or exceeds CMS guideline of 5% of total patient care hours provided by hospice staff.
  • Develop and implement cutting edge volunteer management software used for volunteer tracking, projects and service hours to ensure accurate reporting.
  • Fiscally manage allocation of resources.
Required Skills/Abilities:
  • Knowledge of CMS regulations and guidelines of hospice
  • Able to function responsibly and autonomously
  • Competent in all Microsoft programs
  • Excellent oral and written communication skills
  • Strong leadership skills
  • Outstanding organizational skills
  • Excellent interpersonal skills
  • Experienced in operating within EMR systems
Education and Experience:
  • Minimum of 3 years of experience supervising volunteers
  • Proficient in working within social media outlets
  • Minimum of two years leadership or supervisory experience, healthcare preferred
Physical Requirements:
  • Prolonged periods of sitting at a desk and working on a computer
  • Must be able to lift 15 pounds at times

Pay:
$28.00 - $33.00 per hour Expected hours: 40.0 per week
