Job Description

Job Objective:
The Surgical Services Coordinator is responsible for performing a wide variety of complex duties requiring a high degree of accuracy, with the latitude for independent initiative, judgment, and providing technical secretarial assistance in planning, organizing and controlling the workflow in order to accomplish the objectives of the department.
Duties and Responsibilities:
A. Secretarial/Clerical Support 1. Provides technical, clerical, and administrative assistance in staff training, budget related processes, productivity management, supply management, special projects and documentation of quality improvement/management tasks. 2. Assist with data entry 3. Files and maintains accurate records 4. Assist in surgical case scheduling. 5. Prepares minutes of meetings. 6. Prepares and maintains a variety of reports 7. Processes clinical and clerical inventory supply orders 8. Provide assistance in planning meetings; developing agendas, preparing committee reports and maintains records 9. Maintains, verifies, reconciles, corrects, balances, and audits a variety of health information, lists, reports, census, logs, storage and retrieval systems. (e.g. TrackCore tissue management, SurgiCount sponge management, Tissue Bank Licensure, Perfusionist Competencies etc..). 10. Tracks and verifies report completion. 11. Functions as the Tissue coordinator. 12. Perform audits of nursing documentation. 13. Contact and coordinate vendors for surgical cases as needed. 14. Coordinates with the nursing staff on proper documentation of implants, tissue and Surgicount. 15. Assists management with capital budget and vendor products as needed. 16. Manages surgical services contracts. B.
Telephone and Reception Support:
1. Answers telephone consistent with Service Excellence standards, routes calls appropriately and accurately records messages 2. Greet employees and visitors C. Assist management in maintaining Quality Control and Quality Assurance records as recommended and as required by Federal Regulations, State Regulations and Joint Commission standards. (e.g. clinical logs, Performance improvement Project data etc.)
Non-Essential Duties:
Assists surgical service desk when needed Assists with scheduling of patient procedures Assists with other duties as assigned Provides clerical support to the Medical Director of Anesthesia and Surgery as necessary
Knowledge, Skills and Abilities:
Knowledge Knowledge of proper supplies, equipment and instrumentation needed during surgical procedures Working knowledge of Microsoft Office products to include but not limited to Word, Access, Excel, and PowerPoint Working knowledge of database systems as related to scheduling Knowledge of English language including spelling, grammar, and punctuation Knowledge of medical terminology Skills Demonstrates competency in use of the new technologies relating to equipment Proficient in the operation of office equipment (fax machine, computers and copiers) Abilities Ability to work under pressure in a fast-paced environment. Ability to manage heavy caseload in an organized and efficient manner Ability to enter complete and accurate data into a computer system

Education and Experience:
Education High School graduate or equivalent RN preferred Experience Minimum 2 years of experience in an acute care surgical setting Informatics experience preferred Materials management experience preferred Required Licensure and/or
Certifications:
BCLS AVMC

Conforms with required and appropriate accreditation and regulatory requirements. Conforms with and supports hospital quality assurance and improvement guidelines. Ability to participate effectively in department and hospital staff education. Display a willingness to work as a team player. Ability to give and support the highest level of patient/customer satisfaction at all times. Supports and adheres to the values and mission statement established by the AVMC Board of Directors. Ability to demonstrate knowledge and understanding of the Compliance & Integrity Program and its established policies. Ability to follow the Code of Conduct.
